JOB OVERVIEW
The Information Management Assistant (IMA) supports the Information Management and Cash teams in data analysis and beneficiary payments, ensuring compliance with safeguarding standards. They will perform daily checks of registration data and support the provision of cash assistance to beneficiaries using various financial service providers. The position is also involved in monitoring processes to ensure they are implemented safely and correctly.
KEY RESPONSIBILITIES
• Ensure timely and accurate entry of the data into the relevant databases.
- Process deduplication, data cleaning and data validation of the registered data.
- Process payment to beneficiaries using different FSPs.
- Process top-ups and reconciliations for financial reporting.
- Follow up with issues related to registration data and transactions.
- Prepare numerical and graphical reports on a weekly, monthly and quarterly basis for tracking performance under activities.
- Ensure quality information management including client count in coordination with the Cash and Basic Needs coordinator and the information management team.
- Testing and modifying existing data collecting tools.
- Provide ongoing support to the Cash and Basic Needs staff with data collection and use of data collecting tools.
- Act as the focal point for follow-up with Cash and Basic Needs staff where needed.
- Work with client feedback team to responses of client feedback
- Support the timely information sharing regarding challenges and needs at the field level
- Field monitoring visits and reporting.
- Provide support to other departments on related tasks within the scope of regular working hours and available capacity, based on a position-sharing approach.
- Adherence of Safeguarding.
JOB REQUIREMENTS
Education:
University degree required. Additional technical training or certification in data management is an asset. A background in computer science and/or data analytics is preferred.
Experience:
- Experience in humanitarian programs will be an additional advantage
- Experience developing and managing databases and conducting statistical analysis and reporting
- Knowledge of and experience with Commcare, RedRose or similar data collection tools (Kobo Toolbox)
- Good skills and experience reporting using Excel and extracting information from the database.
Demonstrated Skills and Competencies:
- Demonstrated capacity for working effectively in a diverse and multi-disciplinary team environment
- Good knowledge and skills in Microsoft Excel, including creating tables and forms, data analysis, using pivot tables, and charting/visualizing data in dashboard format.
- Strong attention to detail and excellent data entry skills
- Excellent communication and presentation skills
- Demonstrated understanding of and ability to maintain confidentiality and respect for clients/beneficiaries
- High degree of flexibility and strong ability to organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail
- Positive and professional attitude, including ability to lead and work well in a team setting.

REPORTING STRUCTURE AND TEAM COLLABORATION
Internal cooperation of IRC with: Cash and Basic Needs Coordinator, Cash and Basic Needs Manager, Senior Cash and Basic Needs Officer, Monitoring and Evaluation Manager, MEAL Manager. Support the timely information sharing regarding challenges and needs at the field level.
