Job Overview: The Operations Assistant supports the Supply Chain Coordinator and Operations Coordinator in managing inventory, logistics, and assigned administrative functions. This role is responsible for collecting, tracking, and distributing purchased and in-kind resources for refugee and immigrant clients. The Operations Assistant maintains storage spaces, supports procurement activities, and ensures all required documentation, recordkeeping, and reporting remain accurate and compliant.

Major Responsibilities

Supply Chain (Primary Focus)

  • Maintain and organize CIK inventory and storage areas with complete documentation.
  • Keep accurate inventory of donated and purchased supplies.
  • Track supply levels and submit timely purchase requests.
  • Enter and track all incoming and outgoing inventory in the reporting database.
  • Conduct month end inventory reconciliation.
  • Manage donation storage areas, maintaining cleanliness, organization, and safe workflow.
  • Ensure proper stock rotation using FIFO or FEFO methods.
  • Coordinate safe loading, unloading, and distribution of goods per IRC and donor guidelines.
  • Maintain accurate digital and physical inventory logs for reporting.
  • Schedule and coordinate drop off and pick up appointments for in kind items.

Safety and Security

  • Support implementation of safety and security procedures and incident reporting.
  • Help maintain emergency contacts, safety documents, and security communications.
  • Participate in safety trainings and drills and assist in coordinating emergency exercises.

Information Technology (IT)

  • Assist in tracking and maintaining office IT inventory, including hardware and software.
  • Coordinate with IRC IT and vendors to troubleshoot issues with internet, printers, and communications systems.
  • Support storage, documentation, and tracking of IT equipment including cell phones.

Facility Management

  • Monitor utilities, cleaning services, and office supply levels.
  • Assist with planning office events, meetings, and workspace setups.
  • Coordinate repairs and ensure office equipment functions properly.
  • Provide front desk coverage as needed, including greeting visitors, answering calls, and routing inquiries.

Job Requirements
Education:

  • High school diploma required; some college or administrative training preferred.

Demonstrated Skills & Competencies:

  • Strong relationship building, diplomacy, and networking skills; ability to effectively build internal and external relationships.
  • Demonstrated success working and communicating effectively in a multi-cultural environment.
  • Self-starter with excellent problem-solving skills combined with the proven ability to prioritize and manage time effectively.
  • Attention to detail and accuracy in work product.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.

Language Skills:

  • Proficiency in English required; bilingual ability in Spanish, Dari, Swahili, Kinyarwanda, Arabic, French, or other refugee/immigrant language preferred.

Certificates or Licenses:

  • Valid driver’s license, active insurance policy, and access to reliable transportation.
  • Must possess or be eligible for a fingerprint clearance card per Arizona state law.

Working Environment:

  • A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
  • Must be able to lift 35+  (furniture, household supplies, food boxes).

Compensation:  (Pay Range: $17 - $18) Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
