Job Description
Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental, and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
IOM has been operating in Papua New Guinea (PNG) since 2001, working on complex emergencies and providing humanitarian relief while building capacity of the Government for better migration management. Operating through its Country Office in Port Moresby and 12 field-offices across the country, IOM’s programmes focus on disaster risk reduction, emergency preparedness and response, peacebuilding, labour mobility and human development, climate change, countering trafficking in persons, immigration and border governance, legal identity, protection, assisted voluntary return and reintegration, migration, and health.
Under the overall supervision of the Chief of Mission and direct supervision of the Head of Resources Management Officer, the intern will carry the following responsibilities;
Responsibilities
- Assist in preparing online invoices for monthly payments like utilities, consultant fees, staff salaries, and external services.
- Provide clerical support to the finance office on its daily administrative and financial activities
- Provide assistant for the smooth daily running of the administrative functions in a timely fashion, and in accordance with the Mission’s regulations and procedures;
- Prepare & Post accounting transaction to the Office, follow up with relevant staff for the missing documents (if any) and provide general logistic support such as photocopying and scanning documents, vouchers prepared by the unit, etc.
- Provide support in maintaining an efficient filing & E-filling system for vouchers/financial documentation/receipts and ensure their timely filing & E-filling in chronological order;
- Provide support in verifying invoices, supporting documentation and that the goods or services they refer to were duly received or provided in line with IOM financial management rules and procedures before proceeding with payment request;
- Provide assistance for processing all staff services such as travel, expense claims, document retrieval, etc;
- Provide support to finance assistant team in ensuring that proper and systematic completion of all posted payments and other accounting documents according to in line with IOM financial management rules and procedures;
- Assist the finance team in maintaining accuracy in related to financial tracking and record keeping of the daily projects financial activities.
- Provide support in in preparing financial reporting & Monitoring for the projects so that project commitments and expenditures are tracked according to IOM standards.
- Assist in timely clearing and follow up for mission vendor maintenance
- Assist in monthly and yearly end closures of accounts.
- Handle petty cash accounts and ensure all cash posting and supporting documents are complete in line of IOM Financial management rules and procedures
Qualifications
Education
- Bachelor’s degree in finance, accounting and administration or related fields from an accredited academic institution
Experience
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
- At least 1 year of work experience in finance related areas is an advantage
- Attention to detail, ability to organize paperwork in a methodical way;
- Discreet, details and clients-oriented, patient and willingness to learn new things
- Excellent written and oral communication skills in English
- Good interpersonal communication and presentation skills.

- Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by his/her university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.
- IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the assignment. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
