Job Description
Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental, and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
IOM has been operating in Papua New Guinea (PNG) since 2001, working on complex emergencies and providing humanitarian relief while building capacity of the Government for better migration management. Operating through its Country Office in Port Moresby and 12 field-offices across the country, IOM’s programmes focus on disaster risk reduction, emergency preparedness and response, peacebuilding, labour mobility and human development, climate change, countering trafficking in persons, immigration and border governance, legal identity, protection, assisted voluntary return and reintegration, migration, and health.
Under the overall supervision of the Head of Resources Management Unit and direct supervision of the Supply Chain Officer, the intern will carry the following responsibilities;
Responsibilities
- Maintaining a filing system for the supply chain unit, including filing and tracking of contracts, storing of electronic copies of Purchase Orders, warehouse forms and other procurement transactions in the Supply Chain SharePoint folder.
- Keep the Supply chain unit SharePoint arranged and updated.
- Perform minor procurement transactions for the office, especially the common purchases and office stationaries inventory.
- Assist the Supply Chain Unit in preparing requests for quotations, evaluation reports, purchase orders, submitting payment request and other procurement documents.
- Support compliance with IOM procurement policies and procedures, as well as donor requirements.
- Tracking of invoices and follow-up pending payments. Send Remittance Advice to vendors and follow-up the submission of Official Receipts needed for IOM GST claims.
- Draft inventory report on monthly basis and Purchase Request status reports on weekly basis and Fleet vehicle report for staff private usage on monthly basis submit them to the Supply Chain Officer.
- Support the Supply Chain Unit in conducting market surveys and vendor assessments.
- Provide administrative support to the Supply Chain Unit, such as arranging meetings, taking minutes, and drafting correspondence.
- Liaise with other units and offices within IOM on procurement and administrative matters.
- Perform any other duties as assigned by the supervisor.
Qualifications
Education
- Bachelor’s degree in Purchasing and Supply Management, Logistics or Business Administration or a related field from an accredited academic institutio
Experience
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
- At least 1 year of relevant professional experience is an advantage
- Attention to detail, ability to organize paperwork in a methodical way;
- Discreet, details and clients-oriented, patient and willingness to learn new things.
- Excellent written and oral communication skills in English
- Good interpersonal communication and presentation skills.

- Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by his/her university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.
- IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the assignment. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
