Job Description

Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental, and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants. 

The Migration & Development Unit works with a broad range of stakeholders to deliver on the promise of migration by promoting regular pathways and addressing the drivers of irregular migration including through youth empowerment, climate action, diaspora engagement, educational pathways, and labour migration. Within the M&D portfolio in IOM Tunisia, the Regular Pathways Pillar aims to establish, enhance and expand regular pathways, by focusing on skills development both to key stakeholders at national and regional level, and with youth, working in synergy with the other pillars Youth Empowerment, Climate Action as well as Diaspora. 

Under the overall supervision of the Project Officer and the Head of the Migration & Development Unit and the direct supervision of the National Program Officer, and in close coordination with the Regular Pathways project team, the Project Assistant will be responsible to assist  for providing effective and efficient financial, administrative, and programmatic support to the team, as well as other related M&D project teams and activities.

Responsibilities

  1. Provide general/clerical assistance in the implementation of project activities., 
  2. Contribute to the drafting of project deliverables, reports, and visibility materials, ensuring compliance with IOM internal procedures and donor contractual requirements and guidelines
  3. Assist the organization and participation in workshops, events, meetings with key local stakeholders and the private sector, inter alia taking minutes of the meetings, brief notes/notes for the file
  4. Support to maintain liaisons with other relevant colleagues in other Country Offices 
  5. Assist in reviewing project deliverables, visibility materials, and reports in compliance with IOM internal procedures and the donor’s contractual requirements and guidelines
  6. Retrieve, compile, summarize, and present information/data on specific project topics 
  7. Assist in the monitoring of budget, verify availability of funds, obtain necessary approval and update budget related information and overall projections in coordination with the Administrative and Finance Assistant
  8. Provide logistical and administrative support to programmatic activities related to vendor selection, contracting, preparation for payments, communication with vendors in coordination with the Administrative & Finance Assistant, Procurement/Logistics and Finance units
  9. Provide logistical support for the organization of field missions, meetings, training sessions, workshops, and events, including all related preparation of materials, logistics, and communication aspects
  10. Draft correspondence, public information documents, reports, briefing notes, website articles, press releases, presentations, information dissemination on the project 
  11. Follow-up that databases and documents are updated as necessary and in a timely manner
  12. Perform other related duties as assigned.

 

Qualifications

EDUCATION

  • Bachelor’s degree from an accredited academic institution, preferably in language civilization and/or communication and/or public relation with one year of experience, or
  • High school degree with three years of experience in relevant fields.

EXPERIENCE

  • Demonstrated interest in working in international organizations 
  • Sound knowledge of project implementation, financial and administrative management skills are an advantage 
  • Familiarity with the region and the migration thematic is an asset 
  • Computer literate with the ability to quickly learn new systems.

SKILLS

  • Capacity to work effectively and harmoniously with people at different levels within and outside organization and with colleagues from varied cultures and professional backgrounds
  • Candidate should be highly motivated with dynamic personality and the ability to work under pressure to meet deadlines
  • Ability to draft correspondence and communicate effectively
  • High level of computer literacy (MS Office Word, Excel and Outlook); experience in handling web-based management system
  • Ability to analyse and interpret source information and data; capable of designing, reviewing and revising business processes to achieve efficiency
  • Strong organizational and planning skills
  • Excellent time management skills
  • Excellent verbal and written communication skills in all three languages (Arabic, French, English)
  • Attention to details and problem-solving skills.

LANGUAGES

External applicants for all positions in the Professional category are required to be proficient in English and have at least a working knowledge of one additional UN Language (Arabic, Chinese, French, Russian, or Spanish).

For this position, fluency in Arabic, English and French is required (oral and written).
