Organizational Context
The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies (NSs). IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. IFRC also has country cluster delegations and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

In 2012, German Red Cross (GRC) established its Regional Office in Beirut. Currently the RO provides support to 10 offices in the region that are implementing emergency relief, cash transfer programming, organizational development, disaster risk reduction and health programs.
Job Purpose
The Office Assistant provides day-to-day support to the Finance and Administration departments to ensure smooth and efficient office operations. This role includes assisting with routine administrative tasks, basic financial support, document handling, filing, and logistics coordination.
Job Duties and Responsibilities
Finance Support:
- Monthly File Support: Assist in preparing monthly financial files for submission to the Finance Department in Berlin, ensuring all supporting documents and signatures are complete. Flag any missing items to the line managerAccountancy Review Assistance: Support in reviewing monthly accountancies submitted by GRC country offices in the region. Notify the Regional Finance Delegate/Manager of any incorrect vouchers or missing documents.
- Translation Support: Translate essential financial and administrative content (e.g., vouchers, CBAs, quotations, contracts, and agreements) before submission to Berlin, as required.
- Filing Support: After validation, help scan and file all accountancy documents in the correct order for internal retention within the MENA RO. Assist in sorting and compiling payments processed by GRC MENA RO with country-level accountancies. Ensure originals are packaged, labeled, and sent securely and punctually to Berlin.
- Scanning and Dispatch Support: Support the scanning and electronic filing of documents in the retention system and assist in dispatching shipments to HQ. Update tracking records of all documentation sent.
Admin Support:
- Travel & Logistics Coordination: Supports booking of flights, accommodations, and local transport for GRC staff and GRC visitors in Lebanon and in the MENA region. Liaises with travel providers for cost-effective arrangements and ensures a smooth welcome process for new arrivals (visa, visitors’ phone, briefing documents etc.).
- Administrative Assistance: Assists in maintaining office functionality, managing supplies and inventory, handling courier services, processing travel-related payments, and ensuring proper documentation and e-filing. Provide backup support to the Admin Officer and participate in after-hours support phone rotation as needed.
Other tasks:
- Implement any other related tasks to the position assigned by Finance delegate/manager, the Administration officer or the Head of Regional Office.
Education
- Accounts/Finance/Business/Administration Studies or minimum professional experience in Finance-Administration - Preferred
Experience
- Minimum 2 years work experience in a financial role - Preferred
- Experience of working for a Humanitarian Organization - Preferred
- Experience of working with web based accounting systems - Preferred
