Organizational Setting
FAO's Subregional Office for the Pacific Islands (SAP) is responsible for developing, promoting, overseeing and implementing agreed strategies for addressing regional food, agriculture and rural development priorities. It develops and maintains relations with subregion-wide institutions including Regional Economic Integration Organization (REIOs). It assists the FAO Representations in the subregion with addressing food security, agriculture and rural development issues at country level. The Subregional Office is a subsidiary of the FAO Regional Office for Asia and the Pacific (RAP).
Reporting Lines
The Office Driver works under the general supervision of the Subregional Coordinator and the direct supervision of the Administrative Officer located in SAP.
Technical Focus
In his/her function as Office Driver for the relevant Office, the incumbent is in regular contact with national and international visitors, including high ranking officials from the government and other (UN) agencies, with project managers, consultants and other personnel from within and outside the Organization. He/she is often the first point of contact for people from outside the Office. He/she interacts on a day-to-day basis with personnel and officials from local offices and service providers.
Tasks and responsibilities
• Drive the country office staff and their official visitors on official trips and drive for the FAO Representative and his/her visitors on occasions as necessary\: observing road safety rules and UNDSS & FAO guidelines
• Meet staff and official visitors at the airport, facilitate immigration and customs formalities, hotel check-in and other local formalities;
• Log official trips, daily mileage, gas consumption, transportation/vehicle related expenditures, vehicle servicing, repairs, etc.;
• Ensure day-to-day maintenance of the assigned vehicle(s) checks oil, water, battery, tires, etc.; perform minor repairs and timely arrange for any other repairs necessary to keep the vehicle safe and technically sound at all times; maintain the vehicle(s) in clean condition;
• Handle local and organizational formalities when involved in an accident, ensure that in this case all organization and local/country rules, regulations and procedures are followed correctly;
• Collect and deliver mail, documents, pouches, and other communications/items from and to the country office\: go to the post office, airport, government agencies, other UN agencies, institutions, project sites, etc., to take and deliver items and communications; keep records as required;
• Support administrative tasks within Procurement, Finance and HR on a daily basis.
• Assist with other clerical duties such as answering telephone, filing and circulating documents for signature;
• Carry out basic checks and maintenance of air con (clean filters) and generator (restart and check diesel levels);
• Perform other related duties as required.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• High school diploma. Possession of a valid driver’s license.
• 3 years of relevant experience as a driver. Flawless, safe driving record.
• Working knowledge of English and Samoan
