Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.”

The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), with its member National Societies and the International Committee of the Red Cross (ICRC). The IFRC is led by its Secretary General and has its headquarters in Geneva, Switzerland. The headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services. The organization has five regional offices: Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegations and country delegations throughout the world. The Geneva headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

The Asia Pacific Regional Office (APRO) leads IFRC support to National Societies of 38 countries through eight country delegations and five country cluster delegations spread across East Asia, South Asia, Southeast Asia and the Pacific geographical areas. APRO, led by the Regional Director, is organized in units which mirror departments of the Geneva headquarters. APRO also serves as the Secretariat office that provides direct support to the National Societies of Malaysia.

Job Purpose

Job Purpose

To learn by doing on RFU Unit in the scope of document verification, assist in consolidation of Audit samples and other Ad Hoc task.

Project objectives

The Finance Intern will support the IFRC Asia Pacific Regional team in maintaining accurate financial records, ensuring compliance with IFRC financial procedures, and contributing to efficient financial management and reporting. The intern will gain practical experience in humanitarian financial operations, assist in day-to-day accounting tasks, and support the preparation of financial reports, reconciliations, and documentation. Through this role, the intern will develop a solid understanding of IFRC’s financial systems, internal control, and the financial dimensions of humanitarian programming.

 

Job Duties and Responsibilities

1.Support External Audit Process with Consolidation of Audit Samples from Countries

  • Objective: Assist in gathering and organizing audit-related documentation from various country offices within the Asia Pacific region.
  • Responsibilities:
    • Coordinate with country offices to collect and consolidate financial data, records, and supporting documentation required for the external audit process.
    • Track the status of audit-related documentation and follow up with country offices as necessary to ensure timely submission.
    • Contribute to ensuring that the audit process runs smoothly by ensuring the completeness and correctness of the documentation provided.

2.Assist with Accounting and Reporting Officer in Running BO Report for Monthly Closing and Quarterly Reporting

  • Objective: Support the Accounting and Reporting Officer in the preparation of monthly financial reports and the quarterly financial review process.
  • Responsibilities:
    • Assist in running the BO (Business Object) Report or other financial systems to extract necessary financial data for month-end and quarter-end closing.
    • Support in reviewing and reconciling accounts to ensure the accuracy of financial statements prior to submission.
    • Assist in preparing financial summaries and performance analyses for monthly or quarterly reporting to senior management and stakeholders.

3.Assist Analyst with Monthly Documentation Verification

  • Objective: Support the Financial Analyst in verifying financial documentation for accuracy and compliance with IFRC policies and procedures.
  • Responsibilities:
    • Assist in reviewing and verifying supporting documents for transactions, ensuring they comply with IFRC’s financial policies and donor guidelines.
    • Help to cross-check the documentation against the relevant financial records to ensure consistency and completeness.
    • Assist in documenting any discrepancies or issues identified during the verification process and support follow-up actions.

Education

Required

  • A bachelor’s degree (completed or in process) in a relevant field.

Experience

Required

  • Good knowledge and relevant work experience in the regional context.
  • Proficient in MS Office, mainly Excel
