Within the Department of Human Resources Management, the Integrated Talent Management Division (ITMD) which is responsible for managing initiatives which help IOM to identify, attract, train, develop and retain skilled employees to meet the mandate of the Organization.
Under the overall supervision of the Senior Human Resources Officer (Strategic Workforce Planning), and the direct supervision of the Human Resources Officer (Mobility and Pathways Pool), the Human Resources Assistant (Talent Management) will provide administrative support to the Staff Secretariat, Mobility and Pathways Pool processes as needed.
Responsibilities
Staff Mobility
Prepare and maintain the lists of staff members eligible for each mobility cycle; prepare other relevant tables and statistics, as requested.
1. Ensure all relevant documents and records are kept up-to-date for each staff member eligible for the mobility process.
2. Issue eligibility notifications to all staff members on reassignment.
3. Issue relevant decision letters throughout the mobility process for all eligible staff members.
4. Manage the Staff Mobility shared mailbox, ensuring every request is handled promptly and professionally and redirect queries as necessary.
5. Ensure all parties involved in the mobility decision process have access to up-to-date information and facilitate the communication as needed.
Pathways Pool
6. Provide logistical support with the Pathways Pool, including assisting with the organization of in-webinars and assessments.
Communication
7. Manage the Workforce Planning and Forecasting SharePoint and social channels, ensuring updates and timelines are regularly reviewed and shared with staff globally.
8. Perform such other duties as may be assigned.
Qualifications
- High school diploma with at least five years of relevant professional experience; or,
- Bachelor’s degree in Business Administration, Human Resources, Finance, Accounting, Management, or a related field from an accredited academic institution with three years of relevant professional experience.
- At least three years of experience providing administrative support in the context of a large organization; and,
- Experience in organizing conferences and events.
- Thorough knowledge of the Microsoft Office suite (Word, Excel, PowerPoint, etc.); and,
- Knowledge of Microsoft Office collaboration tools (Teams, SharePoint) would be a strong advantage.
For this position, fluency in English are required (oral and written). Working knowledge of French is highly desirable and another official UN language (Arabic, Chinese, Russian, and Spanish) is an advantage.
IOM’s official languages are English, French and Spanish. All staff members are required to be fluent in one of the the three languages.
