Overview of positionCTG is looking for a qualified candidate, whose experience matches the below TOR.
Role objectivesUnder the direct supervision of immediate supervisor at the Area Office (AO) Logistics Responsible, the Country Office Fleet Manager & in coordination with all AO Fleet Staff, the selected candidate shall perform the following duties:
Manage & monitor the performance of the trucks / trailers to achieve maximum utilisation, vehicle routing & scheduling for the timely deliveries of both food & NFI for operational needs.
Carry out scheduled maintenance & repair, overhaul, reconditioning, modifications in a most efficient manner with the ultimate objective to ensure that all vehicles are maintained to a high standard & roadworthy condition.
Responsible to oversee the materials management aspect of the operation & in particular the controlling, justification & issuance of spare parts, tyres, lubricants & consumable materials at the AO's & sub offices level.
Responsible for forecasting & requisitioning of spare parts: Preparation of orders for spare parts / tires & materials required for the AO operation & submit these requests for the CO Storekeeper.
Ensure that proper workshop administration, record keeping & vehicle history records are well maintained via the Fleet Management System (FMS) for the AO.
With the help of the Logistics Officer, manage our clients staff & Drivers / Convoy Leaders to ensure that they report on time & work efficiently.
Responsible to manage & ensure that all reports & information as required by the AO are produced promptly on a timely basis. Additionally, analyse information & quality of reports prior to distribution.
Responsible for the management of POL (Petroleum, Oil & Lubricants) ensure that the quality / quantities of the supply of fuel & lubricants are in accordance with standards set.
Ensure that all repairs & maintenance performed to vehicles / machinery at the AO workshops are in accordance with the required standards established to achieve maximum reliability with minimum downtime & quality workshop management maintained.
Implement best practices established & ensure that KPI’s (Key Performance Indicators) are met.
Ensure that minimum Health & Safety (H&S) requirements are met in full, together with considerations for environmental needs.
Responsible to ensure that all staff (persons reporting) carry out their duties in accordance with their job descriptions set.
Continuously collect & collate valuable data or information relating to improvements required for standardisation & development purposes for fleet management & communicate this information to other staff in fleet.
Share experiences gained with other staff members & strive towards creating good team building & harmonious atmosphere.
Travel occasionally, to support other AO's as required by the organisation.
Will perform any other duties as requested by immediate supervisor.
Will liaise & cooperate with all other employees within fleet & other departments within the organisation with particular emphasis with the logistics section. Work closely with other Workshop / Fleet Managers.
This role will work under the direct supervision of immediate supervisor at the Area Office (AO) Logistics Responsible, the Country Office Fleet Manager.
Key competenciesBachelor's degree in mechanical engineering.
At least 5 years of experience in workshop as Workshop Supervisor or Manager.
Fluent in English, French & Kirundi.
Strong interpersonal skills & the ability to build & maintain relationships with a wide range of stakeholders.
Excellent organizational skills & attention to detail.
Strong analytical & problem solving skills.
Ability to work independently & as part of a team.
Willingness to travel to remote locations as required.
This role will work in coordination with all AO Fleet Staff.
