We are looking for experienced Administrative Assistant, to join our Country Operations Team in Zambia. The Administration Assistant reviews service needs in an operational or procedural environment. They will ensure consistency in delivery against established service standards.

These are your responsibilities
- Professional receptionist service for the office.
- Meeting and greeting any visitors to the Country Office.
- Keeping the reception area tidy.
- Arranging couriers and the posting of any correspondance.
- Answering and forwarding phone calls.
- Sorting and distributing post.
- Handle logistics including travel bookings and visitor schedules, including establishing a regular travel and visitors plan.
- Handle visa applications for visitors and expatriate co-workers
- Handle the practical organisation of office meetings, workshops, training etc.
- Assist with taking pictures, writing stories and completing consent forms for stories to be posted on CBM connect
- Stock management of stationary and other office supplies. E.g. cleaning products
- Assisting with official correspondence with authorities, business registration, fire certificates etc.
- Minute taking of meetings when required
- Report and fix any maintenance issues related to the office operations
- Gather quotes for any repair or maintenance work to be done to CBM premises.
- Assistance with filing and recording of important documents, and ensuring easy accessibility
- Assist in procurement of goods and services to address the needs of the Country Office.
- Ensuring service agreements are valid and filed corectly
- Assist in the updating and verification of office assets and inventory lists
- Manage the shared calendar for all staff
- Check on validity of all insurance contracts of the CBM country office
- Support Country Director specific to the operational requirement of his/her position
- Collaborate closely with the Line Manager to proactively promote conducive environment for the adoption and compliance with Safety, Security and well-being standards and regulations within the Country Office.
- Carry out roles specific responsibility to safeguard children and adults at risk (as guided in CBMs respective policies)
- Ensure that all activities conducted within scope of work or as an employee with CBM comply with the IT and data protection principles.
These are your qualifications:
- Qualification in Administration or any other relevant field
- A minimum of 2 years’ work experience in similar field, particularly with international NGOs or international development organization
- Perform all tasks in a confidential manner
- Ability to prioritize work, and meet deadlines
- Effective communication skills
- An effective team player who is also able to work independently
- Ability to integrate into a multi-cultural environment
- Ability and willingness to learn, and to pass on information / train as required
- Willingness to adhere and commit to CBM’s Values and Safeguarding Policy
- Independent, agile and flexible working style
- Good knowledge of English
- Identification with Christian values and the mandate of the CBM
