ABOUT THE JOB

The Grants Management Officer (GMO) is responsible for providing efficient support to the Grants Management Manager and Program Support Unit in administering grant and partnership-related information, documentation, and processes. The Officer ensures that grant-related information is up to date and version control is maintained through DRC's Global Grants Management ERP (Grants Card on Dynamics) and country-level filing systems (OneDrive/SharePoint). The Officer supports the Grants Management Manager in facilitating grants and partnership management processes and actively engages with CO support services, CO Technical Coordinators, and HQ Grants Management Unit.

Responsibilities:

Grants’ management and administration: 

  • Manage and update grant-related information, trackers, documentation, and processes in accordance with DRC Operations Handbook - Grants Management Volume and DRC's Global Grants Management ERP system (Grants Card on DRC Dynamics) and country-level filing systems (OneDrive/SharePoint).
  • Maintain grant files, including regularly updating DRC’s Grants Management System in DRC Dynamics and ensure all relevant information is updated, including reporting, milestones, start date, end date, total budget, and document uploads, in collaboration with DRC Grants Management Specialist(s) in HQ.
  • Organize grant kick-off, quarterly review, and close-out meetings, capture action points from these meetings, and share these with participants for follow up and check in regularly to ensure they are implemented.
  • Support responses to due diligence and audit requests.
  • Engage with DRC’s Risk and Compliance Unit to support the development of relevant documentation to support project registration.
  • Lead on the production and necessary updating of grant summary cheat sheets that contain an overview of project activities, targets, and key donor compliance considerations.
  • Facilitate timely signature of grant-related documents, such as contracts and waiver requests, by liaising with the Country Director, Executive Director and HQ Grants Management Unit.
  • Support instalment management through tracking instalments planned and in progress in DRC Dynamics.
  • Maintain and update the reporting tracker, as well as sharing a monthly summary of upcoming reports with program and finance teams.

Partner engagement:

  • Maintain updated partnership filing, including risk assessments, capacity assessments and development plans.
  • Support national partner mapping across DRC’s sectors and areas of operations.
  • Assist with coordination and communication during partner onboarding, reporting and capacity building processes.
  • Update partnership trackers and contact lists.
  • Follow up on monthly narrative and financial report submission and finalization.
  • Lead on the scheduling and note taking during partnership and grant review meetings.

ABOUT YOU

To be successful in this role you must have:

Experience and technical competencies: 

  • Excellent communication and interpersonal skills, including the ability to build relationships with internal and external stakeholders.
  • At least one year of experience in grants management, preferably with an international NGO or other donor-funded organization.
  • Excellent writing skills in English.
  • Sound understanding of Grants Management and the grants management phases.
  • Proficiency in Microsoft Office and other relevant software, including Word, Excel and PowerPoint.
  • Pro-social motivation and high regard for the humanitarian objective and humanitarian principles essential.
  • Strong self-motivational, can-do, flexible, and optimistic approach highly valued.

Education/qualifications:

  • Relevant work and/or academic background.

Languages:

  • Fluency in English (speaking, writing, reading) is essential.
