The Danish Refugee Council (DRC), one of the world’s leading NGOs, with a focus on responding to displacement, have been registered in Bangladesh since 2013. In 2017, in response to the Rohingya influx, DRC launched an integrated program of support to the government in site management, shelter/NFI and protection. In 2018, DRC started implementing aid projects in support of the host communities most affected by the influx of refugees. As a key part of this, DRC opened an area office in Cox’s Bazar, and a country office in Dhaka.
POSITION PROFILE
The Supply Chain Assistant provides operational support across procurement, warehousing, asset management, and fleet management, ensuring timely and compliant delivery of goods and services in alignment with DRC policies, Donor regulations and program requirements.
DUTIES & RESPONSIBILITIES
Procurement
- Assist in procurement processes, including quotation collection and purchase documentation.
- Communicate with suppliers to ensure timely delivery of goods and services.
- Maintain accurate procurement records and support compliance with DRC policies.
Warehouse Management
- Ensuring all tasks related to warehouse management including goods receipt, inspection, handling, appropriate storage as well as dispatch in line with approval procedures. Organize any kitting that is required by the programs.
- Ensure all stock-related documents are accurately and timely updated, i.e., stock cards, bin cards, stock release orders, stock report after receipt and dispatch in warehouse.
- Performing all goods are safely stored and stacked, to minimize damage and enable first in/expired, first out procedures.
- Conduct random stock counts and bi-annual and annual physical inventories, and report and document any discrepancies.
- Plan appropriate labor requirements for loading/unloading, supervise casuals’ activities, prepare, and submit their payments.
Fleet Management
- Assist to ensure safe and efficient transport of staff and materials/goods to the field.
- Ensure proper filing of vehicle & drivers documents i.e., driving license copies, route permit, tax token, registration card, fitness certificate, logbook, weekly vehicle checklist, vehicle passenger waiver forms etc.
- Work with the security department to implement routine vehicle tracking, the whereabouts of DRC vehicles at any one time and safety of the vehicle (safety belts, fire extinguishers, spare tyre, tools, first aid kits etc.)
- Performing to driver leave plans and vehicle weekly movement plans as required. Flow up the town car movement with timely manner and ensure smooth operations.
Asset Management
- Assist in carrying out all asset management tasks and ensure that all old and new assets and attractive items are properly recorded and tagged in accordance with DRC policies and procedures.
- Keep the asset register, asset issues form up to date with information of where each asset is/who it has been issued to.
- Assist to physically asset check/inventory in quarterly, bi-annually and yearly and recorded and make reconciliation report.
- Assist with assets repair and maintenance to the asset focal to send the repair shop and are fixed and delivered back to office in a timely manner.
Safety
- Comply with all global and location-specific safety rules, policies, and procedures. Report safety incidents, near-misses and other relevant information to the safety team as shall be briefed during onboarding. Failure to adhere to these is a disciplinary offence while it may also leave the position holder, their colleagues and DRC Bangladesh.
SKILLS AND EXPERIENCES
- Minimum 1 year of experience in a Supply Chain, Procurement, Logistics, or related support role within NGOs/INGOs.
- Strong understanding of procurement procedures, vendor communication, and documentation compliance.
- Strong understanding of warehouse operations, inventory management, and asset tracking.
- Familiarity with fleet coordination, vehicle booking, and movement tracking will be an advantage.
- Hands-on experience with Microsoft Office, especially Excel (data tracking & reporting).
- Knowledge of ERP systems (e.g., DRC Dynamics 365) is preferred.
- Strong attention to detail with the ability to maintain accurate records.
- Good communication and coordination skills with internal and external stakeholders.
- Ability to work under pressure and meet tight deadlines while upholding compliance and integrity.
- A professional certificate or Post Graduate Diploma in Supply Chain or Logistics (e.g., CIPS, CSCM, or PGD in SCM) will be an added advantage.
EDUCATIONAL QUALIFICATIONS
- Minimum Bachelor’s degree in a relevant field, such as Business Administration, Supply Chain Management, Management / Finance / Accounting/Economics, or a related discipline.
