ABOUT THE JOB

Under the direct supervision of the Team Leader-Support Services, the Support Services Assistant of the South Area Office is in charge of the support services composed of administration, HR, logistics and finance and procurement He / She ensures that the organization's standard policies and internal procedures are in place, understood and adhered to by all DRC staff in the area. 

  • Responsibilities:
  1. Administrative Responsibilities
  • Assist with general office management (filing, photocopying, scanning, printing).
  • Maintain office supplies, stationery, and inventory levels.
  • Support meeting coordination and preparation of materials.
  • Manage incoming/outgoing correspondence and distribute as required.
  • Maintain organized physical and electronic filing systems.
  • Assist with managing the DRC Kandahar guesthouses, ensure the guesthouses are neat and clean.
  1. HR Responsibilities
  • Assist with preparing HR documentation (attendance sheets, leave forms, staff lists).
  • Support onboarding processes (preparing orientation materials, arranging workstations).
  • Maintain and update HR filing systems, both digital and hard copy.
  • Support recruitment logistics such as scheduling interviews and preparing interview materials.
  • Assist with staff training logistics (venue setup, materials, attendance tracking).
  1. Logistics & Procurement Responsibilities
  • Support procurement processes (collecting quotations, preparing comparison tables, following up with vendors) in different areas of South.
  • Fleet management and fuel report preparation.
  • Maintain updated records of procurement activities and vendor information.
  • Support asset management (tagging, tracking, updating inventory lists).
  • Monitor and report on office equipment needs, maintenance, and repairs.
  • Assist with coordinating deliveries, shipments, and distribution of materials.
  • Assist with Procurement tracker and E-filling on regular basis.
  1. Finance Responsibilities
  • Assist with petty cash handling, documentation, and reconciliation.
  • Support the preparation of payment requests, scanning documents, and organizing financial documents.
  • Help collect and verify supporting documents from supply chain and staff.
  • Maintain proper filing of financial documents in compliance with internal procedures.

 ABOUT YOU

  • To be successful in this role you must have:

Experience and technical competencies: 

  • Experience: (include years of experience)
  • Minimum 2 years relevant professional in the management of support services with NGO.
  • Experience of working in a support services role with an I-NGO for at least 1 year.

Education/qualifications:  

  • University degree in economics, finance, or other degree deemed similar.

Languages:

  • English, speaking and writing (work knowledge).
  • Pashto
  • Dari

Other skills:

  • Strong organizational and multitasking skills
  • Good communication and interpersonal abilities
  • Attention to detail
  • Ability to work independently and as part of a team
  • Proficiency with MS Office and standard office equipment
