Your team
We are seeking to fill several Management Assistant and Business Process Assistant roles in various ECB business areas. As part of this selection process, we plan to establish a reserve list of candidates who may be considered for identical or similar positions over a period of 24 months, in line with future organisational needs.
The ECB is the central bank responsible for the euro, the currency shared by 20 European Union Member States. The ECB’s main task is to maintain the euro’s purchasing power and hence preserve price stability in the euro area. In addition, the ECB, in cooperation with national supervisors, is responsible for ensuring that European banking supervision is consistent and effective.
In your role as Management Assistant or Business Process Assistant, you will work as part of a team to provide administrative support to managerial and operational staff. You will be responsible for coordinating tasks and projects with senior management and units both within your business area, as well as across the rest of the ECB.

Your role
As a Management Assistant or Business Process Assistant you will:
- provide administrative and secretarial support to management and staff, which may include assisting with the running of various business processes (e.g. monitoring central inboxes, creating and coordinating workflows, liaising with internal and external stakeholders);
- organise meetings, conferences and events;
- manage calendars and business travel arrangements, help process expense claims and maintain stocks of office supplies;
- support your unit’s financial/budgetary processes and contribute to budget planning;
- assist with human resources processes for your unit (e.g. recruitment, on-boarding and training);
- manage the flow of information, handling internal and external emails and telephone calls;
- manage your unit’s document management workspace.

Qualifications, experience and skills
Essential:
- relevant vocational training or equivalent (such as a university degree) in accounting, public administration, business administration, law, human resources, finance, information technology, communications or another relevant field (see How you can join us for details on equivalences);
- in addition to the above, a minimum of two years’ professional experience in the field of administrative support;
- professional experience working for an international public institution or an international private sector company;
- professional experience in organising onsite and virtual events, conferences or high-level meetings;
- advanced user knowledge of MS Word, PowerPoint and Outlook and intermediate knowledge of Excel;
- professional experience in archiving systems and data management;
- an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

Further information
Some of the contracts will be convertible into permanent contracts after three years subject to individual performance and organisational needs.
Other contracts offered will be fixed-term, the appointment being for a period of at least one year as of the exact starting date of the selected person.
Temporary appointments may be extended or made permanent subject to organisational needs and budgetary constraints. This may result in a staff member with a non-convertible fixed-term contract being offered a convertible contract in accordance with the ECB Conditions of Employment.
