What we do
The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.
Purpose
The Welcome Officer ensures that the welcome activities and arrangements are organized smoothly. This includes travel, visa, and End Of Mission (EOM) arrangements, as well as organizing airport transfers of ICRC staff and guests, accommodation, invoicing processing, supplier statement reconciliation, updating relevant database/trackers, filling/archiving requests or mobile staff files and can replace the other Welcome Officers upon need.

Accountabilities & functional responsibilities
- Acts as the focal point for travel bookings, managing requests for ICRC staff & interlocutors on official ICRC trips.
- Addresses and resolves requests/queries raised in STM
- Manages airport transfers for ICRC staff.
- Maintains clear, efficient and professional communication with colleagues regarding their travel arrangements.
- Handles international visa requests for ongoing professional trips from Lebanon and any other special requests as indicated by the Welcome Supervisor.
- Scrutinizes and processes travel-related invoices, visas and other related activities within the deadline, ensuring adequate supporting. Follows up monthly on supplier statements.
- Maintains a travel tracker sheet, including a register for private charges and for refunds related to travel expenses, with aim to ensure reconciliation of Travel Agency charges on a monthly basis.
- Handles EOM arrangements for mobile staff, which include scheduling debriefings and archiving of staff files.
- Ensures all welcome databases and tracking files (including inbound/outbound lists, movement plans, evacuation lists, visa records and invoice tracking) are updated on a daily basis. Proper record of staff movements, document validity, residence details, and other relevant data should be maintained on file.
- Provides administrative support and maintains high customer service standards for all assigned files.
- Organizes and files properly processed cases in line with ICRC archiving standards.
- Replaces Welcome Officers on the team as needed and defined by Welcome Supervisor.
Certifications / Education required
- Bachelor’s degree in Administration, Travel Industry, Tourism or similar field.
Professional experience required
- 4 years’ of professional experience in a similar position.
Trainings
- Ticketing and Hospitality.
Language
- Arabic: Fluent.
- English: Full professional working.
- French: Limited working (an asset).

What we offer
- Salary Package: 2’041 – 2’981 USD/Month (As per ICRC salary scale, salary setting processes will determine fair setting in coherence with the qualifications of the applicant and the requirements of the job).
- 13th Month of salary paid in December, pro rata basis in accordance with the period worked.
- Annual Leave: 20 calendar working days of paid leave per year, pro rata basis in accordance with the period worked.
- Health Insurance: 90% of premium fees under class B, coverage include: Doctor visits, Medicines, Therapy services, etc.
- International Retirement Saving Plan (IRSP): a contribution valued at 11.5% of your monthly salary, these savings are paid by the end of service as a lump sum.
- Other benefits subject to internal rules and regulations: High Cost of Living Allowance (HCLA), Schooling allowance, eyeglasses, designated personal training budget for learning opportunities.
