Job Summary
The Business Support Assistant G5 will provide essential administrative and operational support to various units within the World Food Programme, ensuring efficient and effective daily operations. This role demands a proactive, organized, and detail-oriented individual capable of managing diverse tasks and contributing to a positive and productive work environment.
Job Responsibilities
* **Administrative Support:** Manage and organize correspondence, maintain accurate records, and prepare various documents, reports, and presentations using appropriate office equipment and software.
* **Financial & Resource Management:** Assist in budgeting processes, monitor expenditures, and support asset and fleet management activities to ensure optimal resource utilization.
* **Contract & Vendor Management:** Facilitate the preparation, review, and tracking of contracts, and support vendor management processes to ensure compliance and efficient service delivery.
* **Partnership & Protocol Management:** Support the coordination and management of partnerships, ensuring adherence to established protocols and fostering positive external relations.
* **Data & Reporting:** Collect, analyze, and interpret data to generate comprehensive reports, contributing to informed decision-making and operational improvements.
* **Customer Service & Travel:** Provide customer-oriented support to internal and external stakeholders, and assist with travel planning and logistics for staff members.
* **Team Collaboration:** Actively participate in team activities, fostering a collaborative environment and contributing to shared goals.
* **Technological Proficiency:** Utilize various technological tools and systems to enhance efficiency and effectiveness in all aspects of the role.
Job Qualifications
* **Education:** Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
* **Experience:** A minimum of five years of progressively responsible work experience in administrative support, business operations, or a related field.
* **Skills:**
* **Asset Management:** Proven ability to support the tracking and management of organizational assets.
* **Budgeting:** Experience assisting with budget preparation and monitoring.
* **Contract Management:** Familiarity with contract administration processes.
* **Correspondence Management:** Excellent written and verbal communication skills with an ability to manage official correspondence effectively.
* **Customer-Oriented:** Strong focus on providing excellent service to internal and external stakeholders.
* **Data Literacy:** Ability to understand, interpret, and present data.
* **Fleet Management:** Knowledge of fleet management support activities is a plus.
* **Operating Office Equipment:** Proficient in using standard office equipment (e.g., computers, printers, scanners).
* **Partnership Management:** Experience in supporting partnership coordination.
* **Protocol Management:** Understanding and adherence to established protocols.
* **Report Writing:** Ability to compile clear, concise, and accurate reports.
* **Teamwork:** Demonstrated ability to work effectively in a team environment.
* **Technologically Savvy:** Proficient in using various software applications, including MS Office Suite (Word, Excel, PowerPoint, Outlook), and willingness to learn new systems.
* **Travel Planning:** Experience in coordinating and organizing travel arrangements.
* **Vendor Management:** Familiarity with supporting vendor selection and performance monitoring.
* **Language:** Fluency in both oral and written English. Knowledge of another official UN language (Arabic, Chinese, French, Russian, Spanish) is an advantage.
