 This position is based in Port Sudan Office    

Under the direct supervision of the National officer and overall supervision of the Head of WFP Port Sudan office, or the officer in-charge in his absences, the logistics assistant should perform the following duties: -

THE ROLE

To perform administrative processes and activities that contribute to the successful, efficient running of WFP shipping operations.

KEY ACCOUNTABILITIES :

  • Compile the preliminary shipments information’s received from WFP HQ, establish contacts with the local shipping agents compile all records for the expected arrivals and disseminate to concerned staff for further follow up on actual time of arrival.
  • Follow up with HQ shipping unit on the receipt of complete full set of required shipping documents, as well as with the CO pre-clearance team on relevant exemptions letters, timely seeking supervisor’s intervention in case of potential delays.
  • Timely provide the clearing agent with the required shipping document and exemptions letters, assist in drafting relevant covering letters and maintain proper filing of copies.
  • Maintain all shipping information and generated in an updated weekly shipping bulletin, disseminate it as appropriate, and assist in preparation of performance evaluation of contracted clearing agents as well as clearing market surveys. 
  • As instructed supervise/ monitor the discharge of WFP bulk, break bulk and containers vessels, ensures adhering to WFP standards, immediately report  to supervisors in case of any unforeseen problems pertaining to discharging operations.
  • Coordinate with the clearing agent on timely and promptly cargo inspection by the concerned governmental department (Custom, SSMO, PPD and Port Health quarantine) to ensure timely final releases of incoming shipments.
  • Supervise de-stuffing operation of containerized shipments to ensure accurate dispatches of sound quality and correct quantity as per the approved LTI, as needed.
  • As needed supervise the discharge operation of WFP bulk/beak bulk shipments, ensures smooth discharge operation as per WFP standards, in collaboration with WFP superintendent ascertains accurate bags weighting, sound cargo quality, and segregate improper weights and quality, and report accordingly.
  • Adhere to WFP standards in all logistics aspects while carrying out the assigned responsibility.
  • Perform any other related duties as required


QUALIFICATIONS AND EXPERIENCE :


Education : Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
 

Experience: 5 Years related job experience.


Knowledge and Skills:


• Experience in the area of shipping, logistics or procurement.
• Experience in analyzing data and drafting reports.
• Experience using and maintaining supply chain databases to monitor ongoing contracts, shipments, payments, pipeline information, insurance claims, and/or food stocks against set KPIs.
• Experience in providing technical business support in corporate systems.
• Experience in coordinating with COs and other supply chain actors to support ocean transport contracting and operations.


Language: Fluency in English & Arabic language.
