Job Description
The IOM Mission in Ukraine was established in 1996 and since then grew up into one of the largest in the region with 6 field offices and over 400 staff and consultants. The Mission works closely with the Government of Ukraine as well as other partners including civil society, academia, private sector, migrants and diaspora associations, UN agencies, etc., to promote humane, safe and orderly migration which benefits migrants and the society. IOM provides policy advice and support to the Government to advance migration governance in Ukraine, while continuing to deliver direct services to migrants, displaced population and communities. The Transition and Recovery Team focuses on topics of community stabilization, peacebuilding, transitional justice, durable solutions, recovery, and disaster risk reduction and resilience.
Responsibilities
Core Functions / Responsibilities:
Assure smooth operational running of OSS administrative activities (TRIP/SCAAN) by means of following IOM/UNDSS established operational rules and procedures.
Provide logistical support to OSS staff.
Respond or draft responses to standard/ routine correspondence and other communications; use word processing package to produce a wide variety of large, complex documents and reports;
Proofread documents and format texts for accuracy, grammar, punctuation and style, as well as for adherence to established standards;
Initiate general administrative tasks in the computerized financial / travel / human resources systems;
Provide assistance in the administrative processing of CONOPS;
Research, compile and organize information and reference materials from various sources for reports; create spreadsheets and presentations; manage and update databases for mailing lists and other information; and maintain electronic and paper files;
Order office supplies and research new deals and suppliers; and,
Perform other duties as required.
*Should the Intern need to travel around Ukraine, she will be entitled to payment of expenses while on duty travel at an established Daily Subsistence Allowance (DSA) rate applicable at the time of travel.
Deliverables:
Up-to-date and maintained trackers
Provide assistance in clearing CONOPSs to staff members of the CO travelling to SRM EST (Chernihivka and Sumska oblats) by UNDSS
Meeting and/or event agendas, invitations, minutes, and similar
Project concept notes and proposals
Qualifications
Education and Experience:
The candidate should:
Be enrolled in the final academic year of Bachelor’s level or equivalent in International Business;
be enrolled in a graduate school program (second university degree or equivalent, or higher);
or have graduated with a university degree (not later than 1 year ago). Degree in Economics, International or Development Studies, International Business are desirable.
Technical mastery of the following software programs: MS Word, Outlook, Excel, PowerPoint.
Excellent Communication skills
Ability to handle routine and repetitive tasks
Good organizational skills
Flexibility and ability to work under pressure
Ability to work effectively and harmoniously with colleagues within a team from varied cultures and professional backgrounds
Languages: Fluency in English and Ukrainian.
