About this position

We are looking for a self-motivated, collaborative, and creative administrative consultant. As an administrative consultant, you will provide comprehensive assistance to the Division Chief and to the Transport Front Office Management Team. In addition, the consultant should bring specific experience in strategic communications to strengthen the Division’s visibility and engagement. The consultant must be able to thrive in a fast-paced environment while maintaining strong attention to detail and a positive attitude. The candidate should be proactive, independent, and diplomatic, with sound judgment to know when to escalate issues, as well as highly organized and engaged in their work.

You will work in the Transport Division (TSP)  part of the Infrastructure (INE) department. This team provides technical support to member countries in the design of transport operations (roads, ports, airports, railways, etc.) with the aim of contributing to a more inclusive world and improving mobility conditions for people and cargo in both rural and urban areas. The Division’s experience covers topics ranging from the development of regulations for different modes of transport, their administration and planning, institutional strengthening of the entities involved, investments in new and existing infrastructure, definition of services connected to infrastructure, development of urban transport systems, to the identification of projects for green infrastructure resilience, among others.

What you’ll do

  • Provide overall administrative support to the Division Chief by managing the agenda and scheduling priorities (meetings, conferences and any other activities in and out of the Bank).
  • Compile and provide to the Division Chief, in advance, relevant materials that will ensure she is properly prepared to attend meetings and other events.
  • Coordinate key activities which include among others assist in the generation and dissemination of material related to the overall infrastructure sector (social media, videos, blogs, etc.), providing inputs for talking points for the Transport Division Chief and Upper management.
  • Prepare technical presentations for Strategic Areas and Coordinators meetings, ensuring content is accurate, clear, and aligned with organizational objectives.
  • Research and maintain updated a dashboard with the political context of the region aiming at the transport sector.
  • Make travel arrangements and hotel reservations and prepare Travel Authorizations (TA) and the corresponding Statement of Expenses (SOE) using the applicable Bank systems and as per departmental internal procedures.
  • Contribute in the preparation of presentation materials, meeting minutes, and any other official documents and ensure these are properly filed (either in paper or electronic format) for easy accessibility and future reference.
  • Coordinate with the project teams (Pipeline, Execution, Technical Cooperations, Knowledge) the agenda, compile briefings, talking points, presentations, and relevant information as needed, for managing official missions by actively contribuing to the coordination and planning of Transport Knowledge Week, the Regional Policy Dialogue, and other events organized by the Division.
  • Prepare draft responses to routine correspondence, ensuring accuracy and demonstrating expertise in multilateral matters.
  • Distribute general internal mail, such as newsletters, update TSP’s email distribution lists and intranet directories and serve as a backup, to support the organization of staff meetings, including gathering all necessary information for presentations, managing logistics, and ensuring effective time management.

What you'll need

  • Education: Bachelor (or equivalent advanced degree) in business administration, communications or other fields relevant to the responsibilities of the role.
  • Experience: At least 2 years of progressive experience in organizational management, administrative strategic activities and editorial documents development.
  • Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration

  • International consultant Full-Time, 12 months (up to 48 months).
