This position is based in Dushanbe, Tajikistan. The starting monthly salary for this position is 1,384 USD.
THE ROLE:
To provide specialised support and coordinate the delivery of client-focused and value-for-money services pertaining to the Management Services portfolio.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
1. Prepare resource requirements in the area of responsibility (WFP facilities, assets, light vehicle fleet, etc.), and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
2. Responsible for the provision of services such as facilities management, travel, protocol and light vehicle management related, etc., reporting any discrepancies to the supervisor for consistent and timely delivery of services, to ensure the provision of a safe and comfortable working environment for WFP staff.
3. Support the production of various data and compile and prepare reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.
4. Contribute to planning, monitoring and processing administrative actions related to procurement, finance, human resources, etc., including contracts with external vendors to ensure all data is accurately and timely recorded, processed in WFP corporate systems and any operational issues addressed.
5. Review and recommend improvements to procedures to contribute to continuous enhancement of services provided.
6. Provide timely and accurate resolutions to complex queries to ensure efficient delivery of services.
7. Utilize digital tools and technology applications to improve working practices and customer service, and effectively adopt new technologies that are introduced at the workplace.
8. Participate in the preparation of inter-agency initiatives (BOS) as part of UN Reform to achieve cost savings and enhancement of service quality.
9. Liaise with other functions and third-party contractors to enable efficient service delivery.
10. Provide advice and support to junior staff to ensure individual and team objectives are met in line with required standards.
11. Provide training and guidance to staff to improve understanding of Management Services regulations, policies, procedures, processes, standards, and systems.
12. Contribute to emergency preparedness and response by allocating resources, offering analytics, and providing services.
13. Prepare and submit for review and approval monthly Admin/Asset and Fleet management reports to Supervisor, and relevant counterparts Fleet Center, Asset Support Team etc.
14. Perform other related tasks and assignments as required.
QUALIFICATIONS AND EXPERIENCE:
This position is open to Nationals of Tajikistan only.
Education: Completion of secondary school education. A post-secondary certificate or Bachelor’s degree or higher in the related functional area is desirable.
Experience:
Six or more years of progressively responsible work experience in the relative business stream with experience in general management services work.
Experience in collating data and preparing reports pertaining to Management Services portfolio such as management of assets, facilities, fleet, travel, or similar areas.
At least 6 years of experience in managing teams.
Desired experience for entry into the role:
Has demonstrated a sound understanding of WFP Management Services regulations, policies, procedures, processes, standards, and systems.
Has experience in coordinating the work of others and providing guidance and training.
Has experience working with teams across different functional areas.
Has experience in humanitarian context.
Language: Fluency in both oral and written communication in English & Tajik languages. Fluency in Russian is desirable.
