Job Description
The International Organization for Migration (IOM) in Brazil is implementing various projects addressing the protection, assistance, and integration needs of migrants, refugees and other vulnerable populations in Brazil. IOM Brazil works closely with the Government of Brazil and key stakeholders to help promote the principles of the Brazilian Migration Law and to ensure access to regularization and documentation to migrants in the country. Through the IOM Development Fund (IOMDF) funded project “Facilitating gender-responsive regular migration pathways through harmonized and coherent laws, policies and practices in Brazil”, IOM aims to contribute to improving access to safe, orderly and regular migration pathways for international migrants in Brazil, in line with national and international law.
Under the overall supervision of the Chief of Mission (CoM) in Brazil and direct supervision of the Coordinator of the regular pathways project, the successful candidate will provide assistance to the related activities of the project, these include, among others, project development, reporting, monitoring, evaluation and knowledge management.
Responsibilities
Support the planning, coordination, implementation, and monitoring of project activities, ensuring alignment with approved workplans and timelines.
Monitor budget execution, track expenditures, and propose adjustments in coordination with the supervisor and finance unit when necessary.
Draft, compile, and contribute to donor reports, ensuring accuracy, clarity, and compliance with donor and IOM reporting requirements.
Participate in meetings, workshops, and conferences, and maintain effective liaison and coordination with government counterparts, implementing partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other relevant stakeholders.
Monitor the performance of implementing partners, review deliverables, and report any delays, risks, or cases of non-compliance to the supervisor.
Provide technical and administrative support to the development of new project proposals, concept notes, and funding applications.
Perform required PRISM administrative actions, including project, procurement, and financial processes, in accordance with IOM rules and procedures.
Support editing, proofreading, and translation of reports, knowledge products, training materials, and communication outputs to ensure quality and consistency.
Assist in the operational and administrative management of ongoing projects, including tracking activities, outputs, and results achieved against indicators.
Provide administrative and coordination support to the IOM Development Fund Team, including follow-up on action points, documentation, and procurement processes.
Support the implementation of IOMDF-funded projects in Brazil, ensuring timely execution and compliance with donor and organizational requirements.
Assist in the organization and logistical coordination of events, trainings, missions, and other project-related activities.
Perform other duties as assigned, in support of project objectives and mission priorities.
Qualifications
- School diploma with six years of relevant experience; or,
- Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with four years of relevant professional experience.
Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
- REQUIRED: For this position, fluency in Portuguese and English are required (oral and written).
- DESIRABLE: Working knowledge of Spanish.
