About this position

The selected candidate will provide research and administrative support to the Division and will perform a wide range of functions to assist the team create, develop and design applied research products including the administrative processes and activities required to get those products published.

The Climate and Environment Division (CLE) sit within IDB Invest´s Industries and Cross-Cutting Themes Department (ICT), it works closely with the Department’s segment divisions and with the Investment officers to prepare impactful projects, mainstreaming sustainability considerations, supporting champions in specific sectors through knowledge products and outreach activities and influencing the market through publications, conferences and other activities. These products include climate change, biodiversity, and preparedness for natural disaster preparedness and response. In addition, this division oversees the contributions of IDB Invest to the global agenda of climate and environment by coordinating the contribution of IDB Invest to the MDBs working group for climate and nature. The selected candidate will work under the supervision of the Managing Director providing support to all the division.

What you’ll do

  • Provide administrative and logistical support in the planning, coordination and execution of meetings and events that serve as the basis for knowledge products.
  • Coordinate agenda of roundtables, market sounding activities and trips that support the knowledge and research products. Coordinate travel arrangements for team members and assist team members with processing travel authorizations and statements of expense. When required, assist team members in processing visa paperwork related to official business travel.
  • Assemble and consolidate documentation including from meetings, seminars, presentations, and reports in a timely and efficient manner, carrying out desk review when needed, under the supervision of the technical teams developing knowledge and research.  
  • Act as focal point with other ICT divisions and other IDB Invest divisions that jointly work on products and services, tracking the use of administrative or Technical cooperation resources (from Donor funds or TC Facility and maintain record of Team’s business travel, attendance to conferences and trainings
  • Serve as a point of contact for all procurement-related matters, including hiring of firms and individuals; processing contract amendments (extensions, increases, cancellations, etc.) as needed; ensuring complete procurement-related documentation; monitoring consulting contracts’ due dates to ensure compliance with procurement policies and guidelines.
  • Serve as a point of contact for all accounts payable/receivables related matters. Including process and track counterpart contributions as part of research activities. And coordinate with and support teams to resolve any issues arising during the payment process ensuring completeness of payments related documentation.
  • Support CLE officers in engaging with the ICT marketing team hiring or utilizing current retainers for layout and design, to prepare knowledge products for publication, processing contracts and payments as needed.
  • Follow up on pending business matters to ensure compliance with deadlines.
  • Other duties assigned by the Managing Director.

What you'll need

Education: Technical studies or associate degree in business administration, finance, economics, information systems or other relevant disciplines.  

Experience: At least two (2) years of relevant experience, demonstrating capacity to develop desk reviews, organize data, and present reports on different topics.

Languages: Proficiency in Spanish and English, spoken and written, is required. Additional    knowledge of French and Portuguese is preferable.

Type of contract and duration

International consultant Full-Time, 19 months.
