Organizational Setting and Reporting Relationship
The position of Ombuds Programs Assistant is assigned to the Office of the Ombudsperson (OOMP). You will be based at our ADB headquarters in Manila.
You will report to the Ombudsperson and officer, as applicable.
Your Role
As an Ombuds Program Assistant, you will perform all administrative responsibilities to support the Ombudsperson, OOMP staff, and OOMP-led events and other projects. In performing your responsibilities, you must adhere to the International Ombuds Association's Standards of Practice and Code of Ethics. You will be expected to conduct yourself with the highest level of professionalism, integrity, and confidentiality.
You will:
- Manage the Ombudsperson's and other OOMP staff's complex schedules involving confidential meetings and other appointments with internal and external constituents.
- Handle confidential and highly sensitive information that you will be privy to as a result of this work.
- Discern and recuse yourself from situations that may conflict with OOMP's confidentiality, neutrality, informality, and independence.
- Provide logistical support to conduct alternative dispute resolution interventions, i.e., group facilitated difficult conversations, informal mediation, team coaching.
- Coordinate logistical requirements of OOMP-led events and targeted awareness raising activities.
- Help implement OOMP's communication plans and educational programs.
- Support the work of OOMP's staff consultants.
- Conduct research and informal data gathering to support OOMP's efforts to develop creative solutions to complex organizational problems.
- Help maintain OOMP's database and case tracking system.
- Process missions and archive related documentation (travel requests, expense reports).
- Help with strategic budget preparation.
- Help expand OOMP's Conflict Management Library.
- Participate in relevant staff development opportunities.
- Maintain and enhance the OOMP office suite to ensure it remains welcoming, accessible, and a safe space for people who come to the office for help.
- Perform additional responsibilities as assigned and stipulated in your workplan.
Qualifications
You will need:
- Bachelor's degree in social sciences, business studies, or other related fields.
- At least 5 years of relevant professional work experience; experience in international multilateral and bilateral agencies is desirable.
- Experience handling confidential information.
- Experience managing appointments calendars, arranging travels and processing relevant documentation, and coordinating events.
- Written and verbal proficiency in English.
- Proficiency in standard software programs (Word, Excel, PowerPoint) and information technologies.
- Experience conducting research using different resources.
- A good sense of humor.

Additional Information
You will be required to sign a separate Confidentiality Agreement upon assumption of position.
This appointment is open to internal and external applicants.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
