The International Potato Center (CIP) is seeking to recruit one (01) dynamic and experienced Finance
and Administrative Assistant to support financial, administrative, and operational functions under the
new EU funded project “Ensemble, travaillons pour lutter contre la faim dans le Sud (MIRAIKA)”. The
project aims to strengthen food and nutrition security and enhance the resilience of vulnerable
communities and institutions across the Great South of Madagascar.
About CIP
CIP is a member of the CGIAR, a global research partnership for a food-secure future. CGIAR science is
dedicated to transforming food, land, and water systems in a climate crisis, and it is carried out by 15
CGIAR Centers/Alliances in close collaboration with hundreds of partners, including national and
regional research institutes, civil society organizations, academia, development organizations, and the
private sector.
About the role
The Finance and Administrative Assistant will provide day-to-day financial, administrative,
procurement, and logistical support to ensure the smooth and compliant operation of the project
activities. The role requires strong organizational skills, attention to detail, and the ability to manage
multiple priorities in a fast-paced field environment.
The position is based in Ambovombe, Madagascar, and reports to the Finance and Administrative
Manager.
Key responsibilities
Finance
• Manage petty cash in accordance with CIP procedures, ensuring availability and accountability
of funds
• Provide administrative and operational support to accounting and financial processes
• Monitor departmental budgets and expenditures, ensuring accuracy and proper allocation of
costs
• Maintain organized and up-to-date financial filing systems (hard copy and electronic)
Administration & Operations
• Manage official correspondence, memos, and electronic communications, following up on
pending matters proactively
• Draft and compile administrative documents, contracts, and reports while ensuring accuracy
and confidentiality
• Provide logistical and technical administrative support to project teams
• Support procurement processes (PR, LPO, GRN) and ensure compliance with organizational
procedures and local tax regulations
• Coordinate and maintain the office events calendar to keep staff informed of activities and
deadlines
• Screen and prioritize incoming calls, emails, and visitors, ensuring a professional office
environment
• Manage office supplies, equipment, and resources to ensure efficient operations
• Maintain and regularly update the asset register, ensuring proper tagging and tracking of office
assets
• Facilitate national and international travel arrangements for staff in line with CIP procedures
• Maintain and organize administrative records, publications, and reports for effective
documentation and database accuracy
Requirements
What are we looking for?
• Bachelor's degree in Business Administration, Accounting, or a related field
• Minimum of three (3) years of relevant professional experience in a similar finance and
administrative role
• Demonstrated experience supporting procurement and financial processes
• Proficiency in office technology and software applications (e.g., MS Office and digital tools)
• Strong writing, documentation, and reporting skills
• Excellent organizational and multitasking abilities
• Strong planning, coordination, and interpersonal skills
• High integrity, accountability, and attention to detail
• Ability to work independently in challenging field environments and under pressure
• Excellent written and spoken French and Malagasy
• Working knowledge of English required
