About this position

The Amazon Coordination Unit (ACU) is looking for a proactive, organized and collaborative General Administration Consultant with excellent communication, inter-personal skills to support the Unit Chief in day-to-day activities and to provide support in all administrative and logistical tasks for the Unit.

The ACU is a small, dynamic team, with some division of responsibilities but also an expectation of strong teamwork, proactivity, flexibility, and a collaborative spirit. The team is part of the Southern Cone Department (CSC) at the IDB and works closely with specialists and management throughout the IDB, as well as with Country Offices in Amazonian countries.

What you’ll do

  • Provide overall administrative support to the Unit Chief, including managing the agenda and scheduling priorities.

  • Compile and prepare key materials in advance for the Unit Chief’s meetings and events.

  • Review documents submitted for approval to ensure accuracy, completeness, and compliance with operational/administrative procedures.

  • Coordinate travel, hotel reservations, travel authorizations, and expense statements in the bank’s systems

  • Support the preparation of presentations, meeting minutes, and official documents, ensuring proper filing and easy retrieval.

  • Support the application/clearance process for ACU staff participation in external events representing the bank.

  • Coordinate and support the execution of internal and external meetings, seminars, conferences, and other events.

  • Manage internal communications tasks, including inter-office mail distribution and updating email distribution lists and intranet directories.

  • Organize and maintain records and files (paper and electronic), keeping team documents, leave, and mission calendars up to date.

  • Coordinate office administrative needs, including IT equipment requests/returns for consultants and office supplies inventory and purchasing.

What you'll need

•    Education: Bachelor's degree (or equivalence advanced degree) in Business Administration, Computer Science, Communications, or other fields relevant to the responsibilities of the role.  

•    Experience: At least two years of progressive experience in office support or executive assistance is required. Experience in an international/multilateral organization is a plus.

•    Languages:  Proficiency in Proficiency in English and Spanish, spoken and written, is required. Aditional knowledge of Portuguese is preferable.

•    Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
 

Type of contract and duration

•    International consultant Full-Time, 12 months (up to 48 months, subject to elegibility).
