Context

​​Under the overall supervision of the Global Supply Chain Officer, and the direct supervision of the Global Prepositioning Officer based in Thessaloniki, and in close collaboration with the Supply Chain Emergency Cell, the Supply Chain Associate (Global Stocks Logistics) will support the organization of logistics activities of Thessaloniki Hub, guided by Supply Chain Management (SCM) objectives, including: warehousing, inventory management, quality control, shipping, and customs clearance.​ 

Responsibilities

  1. Facilitate coordination among all relevant parties for all inbound stock movements, including customs clearance, physical counting, storing, stacking, kitting, packing, palletizing, and labelling of incoming goods.

  2. Support coordination of outbound stock movements and international freight forwarding, including documentation (e.g., Receiving Reports, payment processing, etc) in collaboration with requesting missions.

  3. Process imports and export related documentation with local authorities to obtain tax and duty exemptions, ensuring timely and compliant delivery to and dispatch from the Thessaloniki Global Stocks Hub.

  4. Conduct visual inspections, select samples, and transfer them to the respective QC laboratory for testing. Inform Procurement Team of any discrepancies or impairments and share relevant receiving documentation.

  5. File, track, and manage approved Internal Requisitions (IRs) in compliance with International Organization for Migration (IOM) policies and procedures, ensuring timely updates on relevant platforms (e.g. WAVE).

  6. Support the efficient, safe, and secure storage of IOM goods, optimizing available space and adhering to storage requirements.

  7. Ensure accurate recording of all warehousing transactions, maintaining complete documentation for audit and verification purposes.

  8. Report on inventory status, discrepancies, damages, or missing items to the Emergency Supply Chain Unit in a timely manner.

  9. Conduct Mid-Year and End-Year physical stock counts in close coordination with the Emergency Cell and the MSCU.

  10. Maintain warehouse readiness for smooth and rapid stock movements, ensuring up-to-date records of cargo details, loadability, shelf locations, stock cards, and bin cards.

  11. Maintain local Long-Term Agreements (LTAs) with service providers for transportation and customs clearance as part of preparedness efforts.

  12. Participate actively in weekly Emergency Cell coordination meetings and provide relevant logistical inputs.

  13. Maintain an organized and easily accessible filing and archive system for all warehouse and freight-related documents.

  14. Provide weekly updates to requesting missions on shipment status and delivery progress until final receipt.

  15. Monitor shipments in transit and proactively address potential bottlenecks, delays, or issues with Freight Forwarders.

  16. Ensure timely and accurate data entry into warehouse management systems (e.g. WAVE). Regularly reconcile physical stock with system records and report any variances.

  17. Ensure full compliance with safety, security, and environmental standards within the warehouse facility. Adhere strictly to safety protocols and implement the fire safety and evacuation plan.

  18. Support the development and implementation of warehouse best practices, including stock rotation, random quality checks, and preventive maintenance.

  19. Ensure all warehouse transactions comply with the IOM Warehouse Manual and internal guidelines. Uphold integrity, professionalism, and adherence to IOM’s Code of Conduct at all times.

  20. When required, drive IOM vehicles for official purposes such as staff transportation, visits to suppliers, government offices, customs, the airport, or service centres, in coordination with the Global Supply Chain Officer and in line with IOM’s vehicle management policies.

  21. ​Perform such other duties as may be assigned.​

Qualifications

Education

  • University degree in Business Administration, Management, Logistics, Procurement or a related field from an accredited academic institution with three years of relevant experience; or
  • Completed High school / Secondary school education with five years of relevant experience.
     

Experience

  • A minimum of five years of progressively responsible professional experience in supply chain general activities, i.e. procurement, logistics, administrative services or related area is required; 

  • At least two years of professional experience in logistics, warehousing, transport, or a related area, within the UN common system or in an international public organization, is desirable; and, 

  • Demonstrated experience in training and managing large teams of co-workers, managing vendors and suppliers.

Skills

  • Extensive knowledge of IOM/UN internal procurement and financial rules, as well as IOM's system and processes as they apply to procurement and logistics; and,

  • Excellent level of computer literacy and good knowledge of Enterprise Resource Planning ERP (Oracle) is required.

Languages:

IOM’s official languages are English, French and Spanish. 

For this position, fluency in English and Greek is required (oral and written). Working knowledge of another UN official language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.  

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
