JOB TITLE: Business Support Assistant (Logistics GPS-Fleet), SSA 4

TYPE OF CONTRACT: SSA Level 4

DUTY STATION (City, Country): Addis Ababa, Ethiopia

DURATION: 6 Months

BACKGROUND AND PURPOSE OF THE ASSIGNMENT

In 2023 World Food Programme (WFP) Ethiopia embarked upon an Assurance Project to implement strengthened controls to ensure all food commodities reach intended beneficiaries. As part of this project, WFP Ethiopia Supply Chain unit initiated an effort to track all commercial and WFP Fleet trucks using Global Positioning Systems (GPS) in a single online platform named Fleet Finder. Under the overall supervision of the Head of Fleet, the employee will support the GPS tracking of WFP Fleet trucks in Fleet Finder.

KEY RESPONSIBILITIES

  • Ensure full utilization of Fleet Finder platform in WFP Country Office and Sub-Offices for all shipments.
  • Monitor all incidents in Fleet Finder platform and ensure follow-up is executed by the appropriate WFP Ethiopia focal point in Country Office and Sub-Offices and alerts are resolved in Fleet Finder.
  • Liaise with WFP Ethiopia Country Office and Sub-Office staff as well as with WFP Headquarters focal points to ensure GPS data integration and effective reporting. All other duties as assigned.
  • Ensure that any information/data or reports requested are promptly carried out and expedited in an efficient manner.
  • To provide fleet utilization reports, fuel consumption reports, job cards report, spare parts consumption reports etc.
  • Consolidate all findings and to convert these conclusions reached into useful formats which can be interpreted by management.
  • Perform the duties of all subordinate staff or one level/grade up, in the event of any other FMS staff being absent from his or her duty.
  • Assist in training of fleet staff on FMS when required.
  • Travel within the country as required by the Organization.
  • To provide full support to Logistics/Fleet operational team for food deliver when required.
  • Perform any other duties as requested by immediate supervisor

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:

  • Familiar with GPS tracking systems, including hands-on experience using platforms such as Fleet Finder.
  • Proven experience implementing tracking systems for both commodities and trucks, ensuring visibility throughout the supply chain.
  • Exposure to digitalization initiatives in transport visibility and operational monitoring.
  • Basic understanding of key principles in commodity tracking, transport control systems, and digital transport reporting.
  • Ability to monitor GPS incidents, follow up with focal points, and ensure timely resolution.
  • Attention to detail and ability to follow-up on deliverables.
  • Experience in using Microsoft Excel and Outlook.

STANDARD MINUMUM QUALIFICATIONS

Education:

  • Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience:

  • Minimum of 4 years of professional experience in supply chain operations, GPS-based fleet and commodity tracking systems, including digital transport visibility and operational monitoring.

Languages:

  • Fluency in oral and written communication in English and Amharic.
