Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Office of the Director General (OPSD) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.
You will report to the designated International Staff.
Your Role
As Senior Operations Assistant, you will perform secretarial and administrative support to designated international staff and provide operational support services for various activities of OPSD including coordination for knowledge dissemination activities, records management, and other clerical functions.
You will:
a. Administrative Support
- Provide effective and efficient administrative support including but not limited to calendar management, filing, database maintenance etc.
- Facilitate coordination to ensure efficient coverage of important internal and external meetings.
- Propose, implement, and collect ideas for streamlining administrative processes.
b. Office Administration and Coordination
- Ensure the smooth flow of the administrative and logistical requirements of the assigned supervisors.
- Assist with the coordination and organization of internal and external events.
- Handle any required internal and external coordination such as the engagement of staff consultants (including contracts administration), contribute to the enhancement and implementation of standard operating procedures and implement new systems to facilitate efficient monitoring and delivery of reporting requirements.
- Coordinate the Sharepoint requirements of the division.
c. Communication and Document Management
- Ensure the efficient handling, disposition, dissemination, and smooth flow of incoming and outgoing documents and information requests.
- Support and assist in disseminating PSOD communications.
- Implement and handle records management including logging and uploading in the PSOD Sharepoint site.
- Monitor, flag, and follow-up action items as needed.
d. Data Analysis and Report Generation
- Collect, compile, and analyze relevant information and data to produce routine and/or ad hoc statistics/reports.
Qualifications
You will need:
- Bachelor's degree.
- At least five years of relevant professional experience.
- Ability to manage priorities and workload within general schedule of work, instructions and standardized practices.
- Ability to foresee response and implication of own outputs, and to undertake tasks efficiently.
- Good analytical thinking with ability to make simple causal links, pro-and-con lists and analyses to reach a decision.
- Ability to work collaboratively with teams as a constructive team member.
- Ability to work with individuals from different cultural/national backgrounds.
- Ability to guide more junior staff and assist their skills development.
- Advance Excel and Powerpoint skills.
- Excellent written and verbal communication skills in English.

Additional Information
This appointment is open to internal and external applicants.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
