About this position

You will work in the Front Office of the Vice President of Countries and Regional Integration (VPC FO) at the Inter-American Development Bank. This team leads efforts to ensure strategic planning, operational effectiveness, and cross-functional collaboration across the IDB Group’s initiatives in Latin America and the Caribbean. The VPC FO is instrumental in fostering partnerships, facilitating engagement with key stakeholders, and driving institutional success in meeting regional development goals. This position will require exceptional organizational and analytical skills, a strategic mindset, and the ability to adapt quickly to a dynamic environment. By leveraging your expertise, you will contribute to ensuring the success of the IDB Group’s mission to improve lives in Latin America and the Caribbean.

We are seeking a proactive and highly organized professional to work closely with the Vice President, with primary responsibility for managing and coordinating the VP’s agenda and daily priorities. The role is essential to ensuring the smooth planning and execution of high-level engagements while supporting the effective functioning of the Front Office.

Working directly and under the supervision of the Vice Presidente for Countries and Regional Integration.

What you’ll do

The ideal candidate is organized, adaptable, and detail-oriented, with the ability to manage multiple priorities in a dynamic and complex environment. The role requires flexibility, strong problem-solving skills, and the capacity to remain composed and professional under pressure.

The successful candidate must carry themselves with confidence and grace when interacting with senior leadership and stakeholders, exercising sound judgment and discretion at all times.

1. Agenda & Executive Support

  • Organize, prioritize, and maintain the Vice President’s daily and long-term agenda.
  • Proactively manage scheduling to prevent conflicts, exercising flexibility and ensuring clear and professional communication when adjustments are required.
  • Coordinate closely with Advisors, Manager Assistants, and Representatives’ Assistants to ensure alignment across offices.
  • Review relevant institutional platforms (e.g., SEC page) to ensure all meetings are accurately reflected in agendas.
  • Work in coordination with the Executive Coordinator to monitor key engagements and priorities.
  • Compile and organize materials in advance of meetings and missions, ensuring accuracy, completeness, and timely delivery.

2. Meetings, Events & Travel Coordination

  • Coordinate logistics for meetings, retreats, conferences, and Board-related activities.
  • Support the planning and execution of Vice Presidency events and external engagements.
  • Arrange travel and accommodation logistics, ensuring seamless coordination and careful attention to all details.
  • Prepare and manage Travel Authorizations (TAs) and Statements of Expenses (SOEs).
  • Provide logistical and administrative support for official missions.

3. Administrative Support

  • Oversee administrative and communication tasks across the Vice Presidency.
  • Process payments, reconcile accounts, and monitor financial transactions.
  • Approve leave requests in SAP and ensure accurate time reporting.
  • Support HR-related administrative processes.
  • Ensure compliance with Bank regulations and administrative procedures.

4. Coordination & Communication

  • Maintain regular communication with internal departments to support efficient daily operations.
  • Follow up with teams and offices to ensure timely submission of required inputs.
  • Coordinate daily with administrative staff to monitor pending actions.
  • Contribute to a collaborative and team-oriented work environment.

What you'll need

  • Education: Bachelor's degree in business administration, communications, human resources, or other fields relevant to the responsibilities of the role.
  • Experience: At least 2 years (preferably 4 years)  of experience in corporate management or general administration. Experience supporting high level executives desirable.  
  • Languages: Proficiency in both spoken and written Spanish and English is required. Additional knowledge of Portuguese and/or French is preferable.

•    Citizenship:You are a citizen of one of our 48-member countries. We may offer assistance with relocation and visa applications for you and your eligible dependents.

•    Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

Type of contract and duration

•   International staff contract, 36 months initially, renewable upon mutual agreement.
