Organizational Setting and Reporting Relationship
The position of Operations Assistant is assigned to India Resident Mission (INRM) within the South Asia Department (SARD). You will be based at our resident mission (RM) in New Delhi, India.
You will report to the designated international staff and officer.
Your Role
As an Operations Assistant, you will perform full range of administrative duties for the assigned supervisors, including organizing and maintaining records, contact with the public, preparing correspondence and reports, assistance for visiting ADB missions and other appropriate functions as required; coordinate administrative activities for the INRM.
You will:
- Perform a combination of the following transactions and/or clearly defined areas, depending on the assignment/instructions from supervisors.
- Ensure that all correspondence and documents for supervisors are correctly typed, prepared and submitted on time in compliance with ADB's standard.
- Ensure all the incoming mails are logged, distributed and brought to the attention of concerned staff, and that mails/faxes are delivered.
- Provide reception services by screening incoming telephone calls, taking accurate messages, dealing with queries from internal/external caller and visitors, establish the nature and priority of requirements and ensure they are routed in a timely manner to the concerned staff.
- Ensure the coordination of supervisors' schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by supervisors following ADB procedures. Arrange meetings/appointments with Government of India, executing agencies, donors and other stakeholders.
- Help prepare Aide Memoirs, background papers, back-to-office reports (BTORs and other reports pertaining to group assigned.
- Prepare business travel requests and expense report (in Concur) on behalf of supervisors and provide mission related administrative and logistics support.
- Help arrange required logistic facilities such as transportation, workshops, seminars, visas, shipments, custom clearances.
- Ensure the office filing systems and records are maintained and updated following an existing framework for easy retrieval.
- Perform any other responsibilities as may be required, such as retrieving files/documents for preparation of reports, preparing tables and charts for reports, assisting ADB visiting missions, and other routine office administrative tasks.
Qualifications
You will need:
- Bachelor's degree
- At least 5 years of relevant work experience in a private or public organization. Prior experience in working with UN /MDBs/ International agencies will be preferred.
- Proficiency in spreadsheets and required information technologies.
- Good working knowledge of procedures, formats and standards relevant in the performance of work.
- Written and verbal proficiency in English and local language

Additional Information
This appointment is open to internal and external applicants.
This opening is a local staff position. It is open only to nationals and permanent residents of India.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
