ORGANISATIONAL  CONTEXT: 

In 2018, WFP re-established its presence in the Caribbean with an office in Barbados. The WFP Caribbean Multi-Country Office (MCO) supports 22 countries and territories across the English- and Dutch-speaking Caribbean. WFP Caribbean’s capacity strengthening programme focuses on vulnerability analysis and mapping; end-to-end supply chain management; shock-responsive social protection; food systems strengthening; and climate risk financing In times of crisis, WFP works with partners to provide direct assistance when events surpass national and regional capacities by delivering food, cash or voucher assistance, or through emergency logistics or emergency telecommunications service provision. 

The purpose of the Partnerships Associate position, under the supervision of the Partnerships Officer, is the management of WFP's strategic partnerships for the purpose of increasing WFP’s positioning and for resource mobilization. This position helps to maintain and increasing partnership opportunities for the MCO, supporting strategic engagement within WFP, and working with Programme and Supply Chain units, and satellite offices to achieve results. The Partnerships Associate will also contribute to donor reporting function, strategic engagements in national, regional and international forums. The role also supports the Senior Partnerships Officer to track legal agreements within the office.

   

JOB PURPOSE:  Provide transversal support to the WFP's Partnerships and Reporting functions, contributing to administrative, logistical and technical tasks that facilitate the daily operation of the unit. The role will be focused on supporting the preparation of notes, emails, inputs for rapid analysis of documents, preparation and review of written products, as well as in the organization of activities and the operational monitoring of tasks. 

In this way, it seeks to complement the technical and strategic work of the unit, ensuring efficiency in internal and external management. 

 

 

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):  

 

The holder of the position shall have the following responsibilities:   

1. Identify opportunities for work and partnerships, new sources of funding and alternative sources of donor/partner resources, which contribute to the achievement of WFP's strategic objectives. 

2. Propose and implement the work plan aimed at achieving the consolidation of alliances with donors/partners, in accordance with the strategic priorities of the WFP that make visible the opportunities for relationship, negotiation and financing of projects. 

3. Coordinate and/or build proposals, with support from the Programme, Finance, Budget, Field Offices or other Units, in order to be presented to donors/partners. 

4. Build and keep updated a directory and map of actors, donors/partners relevant to WFP's role in the Caribbean, with possible lines of work and areas of influence in the sub-region 

5. Analyze forecasts and trends, update donor/partner information on WFP's IT platforms, and timely communicate potential risks in resource management and implementation. 

6. Prepare documents, notes, presentations, and official communications, as well as support in their review and editing before being shared with internal and external counterparts. 

7. Analyze and systematize documents, inputs and basic reports, providing useful information for decision-making. 

8. Follow up on commitments with partners/donors, consolidating information, systematizing progress and raising alerts on specific needs. 

9. Support the follow-up of the work plan of the Partnerships Unit. 

10. Consolidate and organize information from different units, partners or territories, to support the preparation of technical, narrative and administrative reports. 

11. Coordinate logistical and operational aspects for the holding of meetings, technical visits and meetings, ensuring compliance with basic requirements. 

12. Maintain fluid and timely communication with internal and external teams, escalating queries or requirements when necessary. 

13. Incorporate a gender, protection, and cultural relevance approach in the preparation of inputs and in the accompaniment of activities, in accordance with WFP guidelines. 

14. Support the timely drafting of reports and updates to and about donors and other partners, in support of the information management function. 

15. Identify, prepare for and plan opportunities for WFP’s strategic engagement in national, regional or international forums.  

16. Maintain confidentiality about the sensitive information to which they have access during the execution of their functions. 

 

 

OTHER POST REQUIREMENTS 

WFP provides emergency response support to the 22 English and Dutch-speaking countries in the Caribbean as needed. In this role, the incumbent may be required to: 

Support the Unit's emergency response activities. 

Deploy to affected countries to assist with Unit operations as required. 

Work beyond regular working hours to support emergency response efforts. 

STANDARD MINIMUM ACADEMIC QUALIFICATIONS:  

 

Education:  

Completion of secondary education. A post-secondary certificate in the related functional area.  

Experience:  

  • Minimum six (6) years of professional experience in administrative, technical, or project support, preferably in issues related to national and international cooperation, alliance management, report preparation, information analysis, or work with government entities and/or the private sector. 

  • Experience in document preparation, logistical support and coordination of activities in social or humanitarian projects will be an asset. 

  • Knowledge in the use of Office tools (Word, Excel, PowerPoint) and database management. 

 

Languages:  

Fluency in both oral and written communication in English.
