About the Project Office
UNOPS has supported Guatemala’s development efforts since 1997, partnering primarily with national institutions to strengthen public systems and promote inclusive growth. Over the years, UNOPS has contributed to a wide range of strategic priorities—from supporting the peace process in the aftermath of armed conflict to fostering economic development in regions facing extreme poverty. Its work has also focused on modernizing public administration, closing infrastructure gaps, streamlining procurement processes, and enhancing institutional transparency and efficiency. These efforts are fully aligned with national development plans and aim to improve service delivery and quality of life for the Guatemalan population.

Role Purpose
El/La Asistente Sénior de Apoyo a la Gestión de Proyectos brinda apoyo administrativo para asegurar la ejecución efectiva de los proyectos. Apoya la planificación, el monitoreo, la elaboración de informes, la logística, las comunicaciones y la gestión documental del proyecto.
Functions / Key Results Expected
1. Support for the project
- Provide administrative and coordination support for project planning, implementation, monitoring and reporting, in compliance with UNOPS standards, regulations and Standard Operating Procedures (SOPs).
- Support the monitoring of project progress, deliverables, contracts, travel, workshops and grants, ensuring timely follow-up and accurate documentation.
- Support the preparation of reports, informational materials, and minutes of internal meetings for management and stakeholders.
- Keep monitoring tools up to date and ensure that project and operational information is current and properly filed, including the construction management system supplied by the supervising company.
- Participate in regular team meetings to report on progress, upcoming priorities, and coordination needs.
2. Support in travel, logistics and workshops
- Coordinate and organize logistics for steering committee meetings, workshops, conferences and events, including travel arrangements, accommodation, catering and security.
- Process travel authorizations, expense claims and reimbursements for staff and partners, in accordance with UNOPS policies and procedures.
- Prepare and distribute materials for workshops and missions, ensuring that all logistical and administrative arrangements are completed in advance.
- Coordinate with suppliers, venues, and participants to ensure the proper execution of events and the timely resolution of logistical problems.
3. Support in Acquisitions and Administration
- Support procurement processes, including the preparation of requisitions, purchase orders (POs), and payment requests in the Enterprise Resource Planning (ERP) system.
- Verify supporting documentation, invoices, and contractual deliverables to ensure their accuracy and compliance with UNOPS Financial Standards and Regulations.
- Support the review of bidding processes, evaluations, and contract administration, including amendments and extensions.
- Maintain accurate and organized documentation of all procurement, financial, and administrative activities for audit and reference purposes.
- Support operational and financial monitoring by updating procurement and payment tracking systems.
4. Administrative and Logistical Support to Senior Management
- Provide administrative and logistical support to senior management, including managing schedules, planning missions, and preparing travel documentation.
- Support the coordination of high-level meetings, commitments with donors and partners, and official visits, including the preparation of minutes and the follow-up of agreements and actions.
- Process operating advances, minor acquisition requests, and other administrative transactions, in accordance with established protocols.
5. Knowledge building and exchange
- Support the organization, facilitation and delivery of training and learning sessions on project management.
- Participate in knowledge sharing initiatives and Communities of Practice (CoP), contributing ideas and lessons learned.
- Conduct research on topics related to project management and contribute to the writing of reports, summaries, and briefing notes.

Diploma a nivel diversificado (estudios finalizados) en combinación con 5 años de experiencia relevante.
Deseable
- Estudios a nivel de Licenciatura en una disciplina pertinente, en combinación con un año de experiencia relevante.
- Disciplinas pertinentes: Administración de empresas, arquitectura, ingenierias relacionadas con la construcción, ingeniería industrial o disciplinas afines.
- Estudios o certificación en Administración de proyectos basados en las metodologías PMI o PRINCE2, Sistemas de Geestión ISO.
Experience Requirements
Requerido
- Se requiere un mínimo de 5 años de experiencia relevante (combinados con un diploma de diversificado), o 1 año de experienca relevante (combinado con un título universitario a nivel de Licenciatura) en gestión de proyectos, preferiblemente de infraestructura o tecnología, brindando apoyo administrativo, operativo y técnico.
- Se requiere competencia demostrada en el uso de herramientas de colaboración y productividad (por ejemplo, MS Office, G-Suite, etc.) y de sistemas de gestión basados en la web.
Deseable
- Experiencia trabajando en organizaciones del Sistema de las Naciones Unidas.
