The President's Office at the European Patent Office (EPO) plays a pivotal role in supporting the President and ensuring the smooth running of day-to-day operations within our international organisation. The team works closely with both internal and external stakeholders in a dynamic environment where professionalism, confidentiality and adaptability are paramount.
The President's Office is now seeking a proactive and highly motivated individual to join us as Expert Technical Officer. This is a great opportunity for you to contribute directly to the effectiveness of the President's activities and, in turn, to the broader mission of the EPO.
With us you will:
- co-ordinate the President's duty travel, including route optimisation, contingency planning and ensuring readiness of all logistical arrangements
- assist the Chief of Protocol in organising visits, missions and official events, overseeing technical arrangements, including videoconferencing and recordings
- provide high-level operational and logistical support to the President's Office, proactively identifying needs and streamlining workflows
- deliver first-line IT support to the President and the Office team, including troubleshooting devices, liaising with IT services and ensuring seamless operation of digital tools during travel and meetings
- manage the secure delivery of high-priority and confidential materials, safeguarding integrity and timeliness at all times
- maintain and enhance digital archives, recommending improvements to document management systems and retrieval processes to ensure accessibility, security, and compliance with internal standards
- support the executive transport arrangements for the President and senior leadership as needs arise, ensuring punctuality, security, adherence to protocol and completion of any related tasks regarding the organisation's vehicle fleet.

- good working knowledge of digital tools and confidence in supporting others with their use

- ability to work with discretion and resilience, taking a proactive and responsible attitude
- experience in handling digital archives and operating document management systems (ideally OpenText) and an understanding of security and compliance requirements
- a valid driving licence and experience in professional driving roles, preferably in diplomatic or executive contexts
Our minimum requirements for this post
- Diploma of completed studies at bachelor's level or equivalent or – in exceptional cases – equivalent professional experience.
- Working knowledge of two official languages. Alternatively, working knowledge of one official language (in such cases, the willingness to learn the missing language and to reach level B2 within a set time frame would be required).
- Citizenship of one of the of the European Patent Organisation
