Job Description
Under the overall guidance of the Chief of Mission, and under the direct supervision of the National Programme and Liaison Officer (Family Assistance Programme), the Senior Programme Associate (FAP) supports the streamlining of visa application services for the German family reunification, resettlement, and evacuation caseloads.
Responsibilities
Support the day-to-day implementation and monitoring of FAP Berlin activities.
Act as the quality control focal point for the FAP Berlin and support the day-to-day quality control and monitoring of the FAP activities.
Support the development, updating and application of Standard Operating Procedures (SOPs), as needed.
Verify that questionnaires and hardship files are complete, accurate and meet the requirements set by the donor and report immediately any quality issue.
Support capacity-building of Programme Associates through guidance, on-the-job support, and training activities; promote knowledge and application of the SOPs; maintain organized storage and timely dissemination of updates, relevant documents, and SOPs, and report any issues that arise.
Provide excellent migrant service to applicants and representatives, in full compliance with the Service Standards, including providing information and procedural guidance to migrants and representatives within agreed timelines.
Support report preparation and data-management of the FAP Programme by compiling statistical and thematic inputs whenever required, and report to FAP management of any problems or issues arising immediately and contributing to suggestions on how to improve efficiency and service delivery.
Assist with coordinating the outreach activities for beneficiaries in countries where the project is not present, to provide information about family reunification procedures to protection holders and their families.
Participate in family reunification events in Germany, support outreach initiatives, and help address queries from local stakeholders.
In coordination with the National Programme Coordinator (FAP), contribute to protection-related activities for vulnerable beneficiaries, such as Unaccompanied and Separated Children UASC, elderly, survivors of gender-based violence (GBV), persons with disabilities, LGBTQI individuals, such as contributing to training, drafting SOPs, tools and reference materials, supporting application of SOPs and tools, preparing regular reports on at-risk cases, liaising with colleagues on relevant issues.
Provide administrative support for the project, assist with activities such as, procurement, and accounting including preparing purchase orders/requests.
Maintain and promote confidentiality and integrity of all FAP-related matter and of all beneficiaries, in accordance with guidelines and instructions.
Take active steps to mitigate fraud and malfeasance, and to monitor the integrity of records containing individual data.
Perform any other duties as may be assigned.
Qualifications
Education:
Bachelor’s degree in Political Science, Migration Studies, International Relations or a related field from an accredited academic institution, with at least four years of relevant professional experience;
Or
High school diploma with at least six years of relevant working experience.
Experience:
Practical experience in multitasking, prioritizing and work independently.
Knowledge of German institutions and German migration policies is required.
Demonstrated experience and knowledge in migration with a focus on family reunification, is an asset
Previous work experience with national, regional or international public bodies would be an advantage.
Skills:
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook is required. Proficiency with Microsoft Dynamics CRM.
Ability to work effectively and harmoniously in a team of colleagues of varied cultural and professional backgrounds.
Language:
Fluency in German and English is required (oral and written).
Knowledge of Arabic, Dari, Pashto, Tigrinya, Somali, or another official IOM language is an advantage
