Organizational Context and Scope
The IOM response in Gaza is structured around key areas of operations including providing technical expert capacity to Clusters in Gaza, maintaining a Common Pipeline Programme, as well as supporting shelter, site management and water, sanitation and hygiene interventions through partners. Under the overall supervision of the Site Management Technical Advisor, the Senior Programme Associate (Site Management) will support the Site Management programming activities with administration, liaison, operations, and maintenance of partnerships with relevant stakeholders contributing to the Gaza response.
Responsibilities
Assist the Site Management Technical Advisor in the planning, coordination and implementation of Site Management programming activities both through partners and directly if access increases.
Assist IOM OPT senior management in the administrative and logistical planning and execution of deployments, including administrative procedures, travel arrangements, as well as overall coordination to support a smooth deployment process.
Support the Supply Chain Unit in processing administrative actions to facilitate the timely receipt and dispatch of IOM-procured Site Management supplies in Jordan .
Support the Site Management Technical Advisor in maintaining relationships and coordination with Site Management partners and other relevant stakeholders, including, inter alia, the UN Coordination structures.
Contribute to the Site Management team capacity strengthening of partners on IOM admin procedures and relevant Site Management activities
Supporting the Site Management Technical Advisor with internal coordination through setting meetings, taking accurate minutes, and sharing the notes, and following action items with colleagues as requested by supervisor
Draft and coordinate correspondences, letters, reports, memoranda, as well as access documents and forms related to IOM administrative matters related to liaison with humanitarian partners, including IOM implementing partners, contributing to and coordinating the Gaza response. Ensure record-keeping and maintenance of all relevant correspondences, create and maintain a filing and referencing system.
Draft and support with informal translations of correspondence and other materials from English to Arabic and vice versa when needed.
Perform such other duties as may be assigned.
Qualifications
Required Qualifications and Experience
Education
University degree in related filled from an accredited academic institution with 4 years of relevant professional experience.
Completed High School degree from accredited academic institution with 6 years relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
At least 4 years of relevant work experience.
Experience in liaising with government authorities, other national/international technical counterparts and NGOs, and building effective partnerships.
Experience in meeting planning, meeting minutes’ recording.
Previous working experience with NGOs, international organizations required, with experience in CCCM/Site Management programming strongly preferred.
Experience in liaison with executives to handle requests and queries from senior managers.
Experience in working in humanitarian responses and the OCHA-led cluster system.
Previous working experience in Jordan or the Middle East and Northern Africa region is advantageous.
Previous work with IOM working with Implementing Partners and experience with IN/288 is advantageous.
Skills
Working knowledge of office equipment.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to multi-task.
Good level of computer literacy.
Languages
Fluency in English (oral and written) and working knowledge of Arabic are required for this position.
