Organizational Setting and Reporting Relationship
The position of Finance and Administration Assistant is assigned to the Bangladesh Resident Mission (BRM) within the South Asia Department (SARD). You will be based at our Resident Mission Office in Dhaka, Bangladesh.
You will report to designated International staff and Officer.
Your Role
As a Finance and Administration Assistant, you will contribute to the operations of the resident mission by assisting in general office administration, logistics, facilities management and reporting and assistance, and follow up to the functions of the finance and administration unit.
You will:
- Maintain liaison with host government agencies to facilitate and follow up on requests for tax exemption, issuance, renewal, reimbursement, and processing of Customs Passbook for Technical International staff.
- Facilitate visa processing for BRM staff and maintain liaison with Consulate office of the Embassies.
- Follow up on general office and personnel administration.
- Manage filing systems on finance/administrative matters.
- Support finance team, including the preparation of yearly administrative expenses.
- Help prepare quarterly procurement planning and maintain Economic Order Quantity (EOQ) for consumable items.
- Receive the regular service contractors' invoices and review the completeness for accuracy and VAT/tax compliance.
- Support in maintaining fixed assets and inventory records, including registration, movement, maintenance tracking, annual inventory, and disposal processes.
- Help with procurement and contract administration, including preparation of contract extension memoranda and evaluation reports.
- Provide travel and logistics support, including air ticket bookings, visa follow-up, and monitoring of office vehicle operations and maintenance.
- Coordinate security and facilities-related administrative matters, including gate pass issuance and oversight during renovation, contractor activities, and scrap disposal.
- Help book air seats for official travel of BRM staff, visiting missions, and government participants attending ADB-funded training workshops overseas, including follow-ups on visa issuance with concerned agencies.
- Maintain liaison with several service providers, government offices and other stakeholders to ensure levels of service.
- Help monitor the operation of office vehicles for regular maintenance and upkeep.
- Perform any other responsibilities and reflected in the incumbent's workplan.
Qualifications
You will need:
- Bachelor's degree in business administration, accounting or equivalent professional and/or academic qualifications
- At least 5 years of relevant professional experience .
- Solid numerical ability.
- Proficiency in the use of technology packages (common word-processing, spreadsheets and graphics, PowerPoint and web-browsing) and search engines.
- Knowledge of relevant procedures, guidelines, and standards.
- Excellent written and verbal communication skills in English is required.

This appointment is open to internal and external applicants.
This opening is a local staff position. It is open only to nationals and permanent residents of Bangladesh
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
