Organizational Context and Scope

The International Organization for Migration (IOM), the United Nations Migration Agency, is the leading intergovernmental organization in the field of migration and works closely with governmental, intergovernmental, and non‑governmental partners. IOM promotes the orderly and humane management of migration, advances international cooperation on migration issues, supports practical solutions to emerging challenges, and provides humanitarian assistance to migrants in need, including internally displaced persons.

Under the overall supervision of the Chief o Mission (CoM) and direct supervision of the Head of Program and Field Operations, and in close collaboration with the relevant units at the Regional Office and Headquarters (HQ), the Senior Project Development and Reporting Associate will be responsible of the following tasks:

Responsibilities

  1. Assist in the planning, coordination, implementation and monitoring of project activities, including but not limited to the support to the development of concept notes and project proposals.

  2. Compile, summarize, analyse, and present information/data on specific project topics, highlighting noteworthy issues for the consideration of appropriate parties.

  3. Monitor emerging trends and priorities in line with IOM frameworks and donor requirements.   

  4. Act as focal point for administrative coordination of the development processes, involving liaison with organizational units and external parties to initiate requests, obtain necessary clearances, follow-up on administrative actions.

  5. Draft status reports; identify shortfalls in delivery, bring them to the attention of the supervisor and suggest corrective measures. 

  6. Draft correspondence on donor reports in line with IOM policies; prepare and update reports, briefing notes, graphics, statistical tables, and other forms of documentation.

  7. Organize meetings, workshops and training sessions; prepare training materials and participate in the delivering of capacity building workshops.

  8. Respond to complex information requests and inquiries; set up and maintain files/records.

  9. Support the monitoring of funding opportunities and participate in meetings and conferences; maintain effective liaison and coordination with local authorities, partners, United Nation agencies, intergovernmental and non-governmental organizations, donors and other stakeholders relevant to the project development activities. 

  10. Provide inputs for the development of Standard Operations Procedures (SOP) and concept papers and provide general support for the development of new projects.

  11. Provides guidance/training and assist in coordinating and monitoring work of other staff in the unit; may supervise other staff as assigned. 

  12. Perform other related duties as assigned.

Qualifications

Required Qualifications and Experience

Education

  • High school diploma with six years of relevant experience; or,

  • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with four years of relevant professional experience.

Experience

  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations; 

  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,

  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.

  • Experience supporting the drafting and development of result-based concept notes and project proposals, preferably in the international development/humanitarian sector and migration related. 

  • Experience contributing to the preparation of narrative and financial reports to donors and other relevant counterparts. 

  • Experience supporting donor reporting processes and responding to calls for proposals.

  • Experience related to project cycle processes and related reporting requirements.

Languages: IOM’s official languages are English, French, and Spanish. 

Required: For this position, fluency in Spanish and English is required (oral and written).
