Anthropocene Fixed Income Institute (AFII) is a global non-profit organisation with a mission to empower fixed income markets to drive global climate transition at speed and scale.

The AFII strategy is three-fold: (1) “Initiate movement” by creating cutting edge, intellectually robust ideas and research on how to shift fixed income markets to support climate change; (2) “Accelerate movement” by converting ideas into practical solutions for investors to make better decisions when investing in climate change; and (3) “Generate volume” of fixed income capital flows to climate-friendly investments through targeted communications, advocacy and outreach.

Role Summary

We are seeking a highly organised Executive & Operations Assistant to join AFII on a maternity cover contract. The primary focus of the role is to provide executive support to the CEO, alongside administrative and operational support across the organisation.

Responsibilities include managing the CEO’s schedule and meetings, coordinating office operations, maintaining administrative systems such as our CRM database, and supporting administrative processes related to UK operational suppliers.

This role is suited to someone who is highly organised, proactive and comfortable supporting a small, fast-paced organisation.

Reporting to the Director of Operations and Finance, the successful candidate will work closely with the CEO and the wider operations team.

Key Responsibilities:

CEO Support

Provide day-to-day administrative support to the CEO, including:

•    Managing the CEO’s calendar and coordinating meetings across multiple time zones

•    Scheduling and organising online meetings using Microsoft 365 tools (Outlook and Microsoft Teams)

•    Preparing and circulating meeting invitations and relevant documents

•    Organising in-person meetings, including booking meeting rooms and coordinating logistics

•    Assisting with meeting preparation and follow-up where required

•    Supporting travel arrangements and managing CEO expense submissions

•    Providing general administrative coordination relating to the CEO’s activities

Office Management

•    Assist in the coordination of office operations, including maintenance of supplies and equipment.

•    Be the primary point of contact for the Building Management team.

•    Assist with onboarding new employees, including administrative paperwork and orientation.

•    Help manage office communication channels and respond to inquiries.

•    Act as the primary contact for the organisation’s third-party IT provider and assist the team with basic IT coordination and requests (hardware and software).

•    Support the implementation of operational policies and procedures.

Administrative Support

•    Provide general administrative assistance as needed.

•    Manage unsubscribes from mailing lists in accordance with legislation.

•    Handle incoming and outgoing correspondence, including mail and email.

•    Maintain and update the organisation’s CRM contact database (currently managed in Excel)

•    Oversee and support all administrative duties in the UK office.

Financial Administration

Provide administrative support related to UK operational suppliers, including:

•    Supporting administrative processes related to suppliers such as office rent, accounting services, meeting rooms and IT providers

•    Preparing and tracking supplier invoices before submission to the finance team

•    Maintaining organised records of supplier contracts, invoices and related documentation

•    Liaising with suppliers regarding administrative or billing queries where required

This role supports financial administration but does not involve accounting responsibilities.

Person Specification

o    Bachelor’s degree in business administration, finance, human resources, or related field preferred.

o    Fluency in English with excellent written, verbal and presentation communication skills.

o    Strong working knowledge of Microsoft 365, including Outlook, Teams and Excel

o    Experience coordinating online meetings and calendars

o    Effective communication and interpersonal skills to collaborate with cross-functional teams.

o    Ability to get things done while exercising good judgment.

o    Extremely organised, with excellent attention to detail.

o    Ability to work independently and demonstrate strong problem-solving initiative.

o    Self-motivated and flexible.

o    Experience as an Executive Assistant at C-suite level is an advantage.

o    Familiarity with HR processes and basic knowledge of labour laws is a plus.

o    Knowledge of project management and cost allocation methodologies is a plus.

o    The candidate must have the right to work in the UK for the full duration of the contract. AFII is unable to sponsor visas for this role.

Offer

o    Salary: £25,000 – £30,000 per year pro-rata depending on experience

o    Working pattern: 0.6 FTE (24 hours per week)

o    30 days’ holiday pro-rata (18 days part-time equivalent), plus bank holidays
