Internal and external candidates will be considered for this vacancy. For the purposes of this vacancy, internal candidates are defined as staff members holding a regular, fixed-term or short-term graded or ungraded contract, including Junior Professional Officers (JPOs), staff on Special Leave Without Pay (SLWOP), UN Volunteers with at least twelve (12) months of continuous service in IOM, and staff members on secondment/loan released by the Organization, unless otherwise specified in their contract. Staff members holding a regular, fixed-term or short-term graded contract will not retain their contract type if appointed to an ungraded position.
Organizational Context and Scope
Under the overall supervision of the Chief Migration Health Officer and direct supervision of the Finance and Administrative Assistant, the Messenger will be responsible in carrying out the following duties and responsibilities in relation to the Migration Health Assessment Centre (MHAC) in Manila, Philippines.
Responsibilities
- Guide applicants to the appropriate services and provide necessary information.
- Handle the routing of internal documents to authorized signatories and transmit external documents but not limited to embassies, hospitals, government agencies, and other relevant institutions.
- Help maintain a clean and organized office environment and verify office supply deliveries.
- Assist in the transport of biological specimens, reagents, and laboratory consumables to Halcyon Health Network, Inc. and other IOM accredited partner referral laboratories.
- Assist in monitoring, distributing, and maintaining office and cleaning supplies; prepare a monthly summary for submission to the Administrative Assistant.
- Print various documents, including Canada Health Assessment Forms, Gate Passes, Work Permits, and Air-conditioning Extension Requests.
- Maintain strict confidentiality regarding MHC operations and sensitive office matters.
- Purchase items required for MHC operations using Imprest Cash Funds.
- Provide support to cleaners when necessary.
- Perform general office tasks such as scanning, photocopying, sorting, binding, and filing of various documents.
- Perform other related duties as assigned.
Qualifications
Required Qualifications and Experience
Education
- Completed High School degree from an accredited academic institution, with at least two years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
- Experience working in international organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
- Expertise in this job and has worked in an international organization is an advantage
Skills
- Basic oral communication skills in English
- Basic typing skills in English
- Basic Working knowledge of MS Office and applications.
- Strong personal commitment, efficiency, flexibility, and a drive for results.
- Ability to work independently with minimal supervision.
- Ability to collaborate effectively and harmoniously with colleagues from diverse cultural and professional backgrounds.
- Commitment to maintaining the highest level of confidentiality for all records and documents.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, fluency in English and Filipino is required (oral and written).
Desirable
Working knowledge of Tagalog.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
