Job Description
Introduction
Under the overall supervision of the Head of Resources Management and direct supervision of the Head of SCU / Supply Chain Officer and in close collaboration with relevant units at Headquarters, Regional Office and the Administrative Centres, the successful candidate will be responsible and accountable for the assisting in warehouse Management activities in Ethiopia. This position is UG equivalent to G5.
Responsibilities
Coordinate daily warehouse operations: receiving, inspection, stacking, storage, and issuance in line with IOM warehousing SOPs.
Maintain accurate stock control: ensure timely GRNs, bin card updates, stock reconciliations, and monthly physical counts.
Prepare and implement dispatch plans with Programs; ensure kitting, packing lists, and waybills are complete and accurate.
Track all inbound shipments (including customs/clearing when applicable) and confirm proper receiving and documentation.
Plan and coordinate outbound deliveries to field locations/partners; obtain and file signed proofs of delivery (PODs).
Coordinate fleet operations: allocate vehicles, brief drivers, and optimize routing to meet program priorities and cost‑efficiency.
Monitor fleet KPIs: fuel consumption, mileage, preventive maintenance, repairs, and logbook compliance; escalate anomalies.
Liaise with transport and service vendors (leases, garages, freight forwarders) to ensure availability, safety, and performance.
Maintain complete, audit‑ready logistics files (warehouse, fleet, transport) and update trackers and dashboards regularly.
Produce weekly/monthly logistics reports covering stock levels, pipeline/dispatch status, fleet utilization, and key risks/mitigations.
Support field missions and distributions, including site setup, crowd‑flow arrangements, and post‑distribution documentation.
Ensure compliance with IOM rules and donor requirements; immediately report any incidents, losses, damages, or variances.
Contribute to continuous improvement: draft/update logistics SOPs, propose efficiency gains, and train warehouse/driving staff as needed
Perform other procurement-related tasks supporting program implementation as assigned
Qualifications
Required Qualifications and Experience
Education
University Degree in Business Administration, Management, Logistics, Supply Chain Management or a related field from an accredited academic institution with three years of relevant professional experience; or,
High school diploma with five years of relevant professional experience
Certification in Procurement, Logistics, Asset Management or Supply Chain Management is an advantage
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
Experience providing support to supply chain management, asset management and logistics and working with vendors and service providers.
Experience with asset management process.
Experience working with IOM/UN Supply chain, asset management and Logistics Rules and Procedures is an advantage
Experience working in an international organisation in a multi-cultural setting an advantage
Skills
- High level of computer literacy
- Knowledge of ERP system/ORACLE highly desirable
- Ability to work with national and international institutions.
- Ability to prepare clear and concise report.
- Demonstrated ability to and exercise sound judgment.

Languages

For this position, Fluency in English and Amharic is required (oral and written).
