Context

Under the overall supervision of the Senior Procurement Officer, and direct supervision of the Compliance Officer (Implementing Partnership Management), the Supply Chain Associate (Implementing Partnership Management) will be responsible for providing procedural, administrative and logistical support related to the management of implementing partnerships at the International Organization for Migration (IOM) Country Offices (COs).

Responsibilities

  1. Assist with compliance review activities related to Implementing Partnership Management (IP Management) processes and support related documentation and record keeping.
  2. Assist with monitoring and reporting on the use of the Oracle Contracts Module as it relates to Implementing Partners (IPs).
  3. Assist with the logistical and administrative training and capacity-building activities for COs on IP management. 
  4. Provide administrative support to communications with COs and relevant units/departments, including Office of Legal Affairs (LEG), Department of Financial and Administrative Management (DFAM), Emergency Supply Chain Management Unit (ESMU), Department of Information and Communications Technology (DICT), and Department of Humanitarian Response and Recovery (DHRR), by preparing correspondence, compiling information and maintaining related records.
  5. Assist in monitoring the CO's internal IP contracting processes by tracking timelines and maintaining related documentation, especially in humanitarian responses.
  6. Assist in the development and preparation of training materials on IP management and related matters under the guidance of the direct supervisor. 
  7. Prepare routine reports and compile information for Supply Chain Division (SCD), as required.
  8. Perform such other duties as may be assigned.

Qualifications

Education

  • University degree in Law, International Relations, Humanitarian Studies, Business Administration, or a related field from an accredited academic institution with three years of relevant experience; or,
  • Completed High school / Secondary school education with five years of relevant experience.

Experience

  • Experience in project, administrative or information management support functions;
  • Experience supporting implementing partner processes, including documentation, contracting follow-up, and record maintenance; and,
  • Experience or familiarity with humanitarian principles and IOM rules and regulations is an advantage.

Skills

  • Good writing and document preparation skills; and,
  • Demonstrated ability to compile information and prepare clear and concise reports.

Languages:

IOM’s official languages are English, French and Spanish.

For this position, fluency in English and Greek is required (oral and written). Working knowledge of another UN official language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.  

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
