Job Specific Context
The Department of Operational Support (DOS) is responsible for the delivery and maintenance of the Information and Communications Technology (ICT) infrastructure, systems and software applications in support of the operational requirements of Peacekeeping Missions, Special Political Missions, as well as Department of Peace Operations (DPO) and DOS at Headquarters.
ICT is one of the fundamental components that enable substantive work of field missions. Timely and secure communications and information exchange within and between UN Peacekeeping Missions and Headquarters is critical to meet the core strategic, operational and tactical mandate of the United Nations. It is of paramount importance that robust, fault tolerant and scalable ICT infrastructure is in place to maintain operations in the event of natural or manmade disasters, disruption in the theatre of operation, or as Security Council mandates change.
The Service for Geospatial, Information and Telecommunications Technologies (SGITT) at the Unite Nations Global Service Center (UNGSC) provides a critical role as the as the resilient operational hub for the support and delivery of technology services and solutions to field operations and a broad range of Secretariat and United Nations system clients. As a unified, singular service provider, SGITT provides reliable, resilient and innovative, geospatial, communications and information technology services, including centralized connectivity, hosting and monitoring support, ensuring that staff members in field missions and at Headquarters have access to critical enterprise systems.
UNOPS has signed a Financial Agreement (FA) with UNGSC to provide Technology Programme Support Services including liaison & outreach support and event management conducted at UNGSC.
The ICT Senior Assistant will be based at the UNGSC within the United Nations Information and Communications Technology Facility (UNICTF) premises in Valencia, Spain, working under the Coordination Support Services Unit.
The incumbent of this position will be a staff member of UNOPS under its full responsibility.
Role Purpose
The purpose of this role is to provide timely, accurate, and actionable administrative, project and event coordination services.
The ICT Senior Assistant provides administrative support to ensure effective delivery of projects and events. The role supports project planning, monitoring, reporting, logistics, communications and documentation.

Functional Responsibilities:
Under the overall supervision of UNOPS Senior Progranmme Manager and direct operational supervision of the Chief Coordination Support Services Unit, the incumbent will provide administrative and coordination support for all UNICTF related projects in an organized manner and will be responsible for:
Project Management
Provide administrative and coordination support for project planning, implementation, monitoring and reporting in compliance with UN rules, regulations and Standard Operating Procedures (SOPs).
Support and organize the needs-assessment meetings with stakeholders to gather requirements and prepare detailed project proposals, workplans, timelines, budgets, and supporting documentation.
Assist in tracking project progress, deliverables, contracts, travel, workshops, and grants, ensuring timely follow-up and accurate documentation.
Support the preparation of reports, briefing materials, and internal meeting notes for management and stakeholders.
Maintain tracking tools and ensure that project and operational data are up to date and properly archived.
Liaise with the cost recovery team on project billing, invoicing, deposits, and financial settlements.
Submit final documentation and invoices to the cost recovery team.
Collect client and stakeholder feedback through standardized evaluation tools to assess project performance and satisfaction.
Support the preparation of reports, briefing materials, and internal meeting notes for management and stakeholders.
Digital Marketing
Supports the production of digital marketing materials (presentations, promotional content, visuals, social-media-ready assets, etc.) to enhance project visibility, outreach, and stakeholder engagement.
Digital Transformations
Replace manual tracking with digital tools and automation to reduce errors and speed up project tasks
Perform other duties as may be reasonably required and in line with the incumbent’s scope of services above

Education Requirements
Required
Secondary school (or equivalent) with 5 years of relevant experience OR
Bachelor’s degree (or equivalent) in any discipline with 1 years of relevant experience.
Desired:
Certificate or diploma in Project Management is desirable
Certificate in Digital Marketing is desirable
Experience Requirements
Required:
Relevant experience is defined as administrative experience in an international/multi-cultural organization in the field of ICT, project management, event coordination or other related fields.
Knowledge of the Department of Operational Support, UN Systems and Applications and Staff Regulations and Financial Rules.
Proficient knowledge of Microsoft 365 and MS Project is required.
Desirable
Experience in Digital Marketing is desirable.
Experience in developing automation solutions and working with low-code platforms is desirable.
