BACKGROUND
The Global Green Growth Institute (GGGI) internship program provides a unique learning opportunity for students and recent graduates from diverse academic backgrounds. The program is designed for talented and motivated individuals skilled in areas relevant to GGGI’s operations. The program allows selected candidates to gain insight into the work of the Institute and provides assistance and training in various professional fields in a multicultural environment. The GGGI is supporting the Government of Kiribati to develop and establish the Kiribati Environment Fund (KEF) under the Low Emission Climate Resilient Development (LECRD) Programme, which is funded by the New Zealand Ministry of Foreign Affairs and Trade (MFAT) and Ireland’s Department of Foreign Affairs (DFAI). The KEF Development Project supports the Government of Kiribati to make key legal, institutional, governance, financial and operational design decisions required to establish a fit-for-purpose national environment fund.
As the KEF project moves into a critical decision-making and implementation support phase, GGGI will support a series of structured workshops and ongoing coordination processes to help the Government review evidence and recommendations, make decisions on the design of the KEF, and progress to the next steps.
CURRENT OPPORTUNITY
We are looking for a talented individual to work with the KEF Development Project in Kiribati to provide operational support to the planning and delivery of KEF design workshops, Project Steering Committee (PSC) coordination, stakeholder engagement, and follow-up actions, including communication, logistical and administrative support.
This internship is expected to be based in South Tarawa and work closely with the Ministry of Environment, Lands and Agricultural Development (MELAD), with regular engagement with the Ministry of Finance and Economic Development (MFED) and other KEF stakeholders.
The internship key delivery responsibilities will include the followings but not limited to:
A. Coordination and Stakeholder Support
- Provide timely coordination support for KEF and related LECRD project activities, including meetings, workshops, consultations and stakeholder engagements.
- Support communication and follow-up with Government counterparts, PSC members, consultants and stakeholders on schedules, actions, submissions and deadlines.
- Draft and send invitations and follow up confirmations for meetings/workshops, as assigned.
- Maintain and update stakeholder contact lists and participant lists.
B. PSC and Meeting/Workshop Support
- Support preparation and organisation of PSC meetings, consultant meetings, workshops, consultations and related project events.
- Assist with preparation of agendas, attendance sheets, meeting materials and supporting documents, as assigned.
- Arrange stakeholder meetings and support scheduling and coordination of participants.
- Support event/workshop delivery through participant registration, attendance tracking, preparation of materials, and on-site coordination/troubleshooting.
- Coordinate logistical arrangements for missions, workshops, trainings and stakeholder events, including venue liaison, catering, equipment and supporting materials.
- Support preparation of brief periodic coordination updates (e.g. monthly) on key meetings, workshop follow-up actions and outstanding coordination issues, as requested by the supervisor.
C. Documentation, Records and Action Tracking
- Support note-taking and preparation of meeting minutes / meeting summaries, particularly for PSC and KEF-related meetings, as assigned.
- Record and disseminate PSC meeting minutes and/or summaries within required timelines, as directed.
- Maintain and update PSC action trackers, decision logs and follow-up matrices.
- Maintain and update filing systems and document repositories for reports, correspondence, consultant outputs, workshop materials, translated materials and other project documents.
- Support document control and records management required for reporting, audit and compliance purposes.
- Provide accurate and timely documentation support for reporting requests, evaluations and audits.
D. Bilingual Communication and Translation/Interpretation Support
- Provide bilingual communication support in I-Kiribati and English for project implementation activities.
- Provide interpretation/translation support for meetings, workshops, consultants and stakeholder engagement activities, as required.
- Support translation of selected project materials and communications between I-Kiribati and English, as assigned.
- Maintain an organised repository of translated materials for team reference and reporting.
E. Administrative and Basic Finance Process Support (Under Supervision)
- Support basic administrative and finance process tasks related to project implementation (e.g. supplier coordination, invoicing documentation, and submission/posting of source documents in GGGI internal systems), in line with GGGI procedures and under supervision.
- Liaise with suppliers and service providers, and support follow-up on required documentation and invoicing requirements, as assigned.
- Support timely preparation and submission of administrative/source documents for project operational and finance processes in accordance with GGGI procedures.
ELIGIBILITY
Applicants to the GGGI internship program must at the time of application meet the following requirements:
- Be enrolled in a Bachelor’s (final year), Master’s or PhD program prior to internship assignment, or a recent graduate within the last 12 months.
- Be engaged or recently engaged in academic study in a field directly related to the Institute’s work.
- Possess an excellent command of English and I-Kiribati.
QUALIFICATION
- Currently pursuing or recently completed a degree in Business Administration, Logistics, Public Administration, or a related field.
- Strong organisational and time-management skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with digital tools, e.g. MSTeams and SharePoint.
- Ability to multitask and work independently.
- Good written and verbal communication skills.
- Attention to detail.
- Prior experience in administration/logistics support will be an advantage.
SELECTION PROCESS
- Applications submitted after the deadline will not be considered.
- GGGI evaluates applications based on: eligibility requirements, relevance of academic study and work experience (if any); and the level of interest and motivation to contribute to development work.
- Due to the high volume of applications, only shortlisted candidates will be contacted.
IMPORTANT INFORMATION
Duration: The internship program is for at least three months and up to six months. Once selected, interns must begin their internship either before or within 12 months of graduation.
Stipend: GGGI interns receive a monthly stipend of USD $500 per month (unless agreed to be funded by sponsoring institutions). All costs related to travel, insurance, accommodation, and living expenses must be borne by either the interns themselves or sponsoring institutions.
Visa: GGGI will provide a supporting letter for visa. Interns will be responsible for obtaining and financing the necessary visas.
Travel: Intern will arrange and finance their travel to the internship location.
Medical Insurance: Interns must present proof of valid medical insurance to GGGI upon returning the signed internship contract.
Confidentiality: Interns must keep confidential any unpublished information obtained during the internship and may not publish any documents based on such information.
Academic Credit: Interns may get academic credit from their institution of higher education for the internship. Interns need to check with their university to confirm their academic credit policy for internships.
Working Hours: Interns are expected to work during normal working hours. Leave should be pre-approved by the Intern Manager, and the latter should inform the Office of HR accordingly.
Learning Outcomes: Before completion of the internship, Intern Managers are expected to review the learning outcomes with the intern.
Certificate: Provided upon successful completion of the internship, upon request.
