Under the overall supervision of the Chief of Mission (CoM) in Poland and the direct supervision of the Data and Research Unit (DRU) Coordinator, the Data Collection and Analysis Assistant will support the implementation of DRU’s ongoing data collection and evidence generation activities, including regular needs and intentions assessments, thematic-research related assessments and other surveys carried out by the mission. The incumbent will contribute to the collection, cleaning, and preliminary analysis of quantitative and qualitative data in line with IOM’s standards for safe, ethical, and effective data collection.
In close coordination with the Senior Data and Reporting Assistant, as well as other relevant units within the mission, the incumbent will play a supporting role for the continuity, accuracy, and operational consistency of field data flows and support the delivery of high-quality information products that enable evidence based programming and reporting.
Responsibilities
Conduct primary data collection activities including household interviews, key informant interviews, direct observation, and other survey methods using digital tools (e.g. KoboToolbox), strictly following DRU/DTM methodology and training.
Support data quality assurance by reviewing submissions, correcting basic inconsistencies, flagging anomalies, and preparing clean datasets for senior DRU staff.
Assist with basic data analysis, including producing simple descriptive statistics, frequency tables, and other preliminary outputs as instructed.
Provide daily or regular updates to the supervisor on field conditions, challenges encountered, respondent feedback, and any operational issues affecting data collection.
Assist in logistical preparation for fieldwork, such as preparing data‑collection devices, checking forms, organizing routes, and ensuring readiness of materials.
Maintain strict data protection, confidentiality, and ethical standards, including secure handling of devices, files, and respondent information.
Participate in required trainings, briefings, and pilot exercises to facilitate correct understanding of tools, questionnaires, and updates to methodology.
Contribute observations and feedback to improve questionnaires, skip logic, translation quality, or operational guidance based on field experience.
Support documentation and archiving, including maintaining organized records, lists, and logs related to data‑collection activities and field deployments
Perform other related duties as assigned.
Qualifications
EDUCATION
- School diploma with at least five years of relevant experience; or,
Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Statistics, Geography, Data Science or a related field from an accredited academic institution with three years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
EXPERIENCE
- Experience in conducting data collection, surveys, interviews or other field-based research activities.
Experience working with migrants, refugees, internally displaced persons or other vulnerable groups.
Experience in reviewing and cleaning datasets and supporting basic data analysis.
Experience using mobile data-collection tools (e.g. KoboToolbox) or similar digital platforms is an advantage.
Experience working with international organizations, non-governmental organizations or public institutions in a multi-cultural environment is an advantage.
SKILLS
- Good knowledge of quantitative and qualitative data-collection methods.
Ability to carry out data verification and basic data cleaning.
Experience working with MS Excel, SQL or similar tools for data handling.
Basic knowledge of data visualization tools (e.g. Power BI) is an advantage.
Strong organizational skills and ability to manage multiple tasks and meet deadlines.
- Attention to detail and commitment to data quality.
Ability to work independently in field locations and as part of a team.
Strong interpersonal and communication skills when working with diverse respondent groups.
LANGUAGES
For this position, working level of English and fluency in Ukrainian are required (oral and written).
Knowledge of Polish and/or Russian is an advantage.
