For more information, visit www.ifc.org. The IFC Kinshasa, Democratic Republic of Congo (DRC) office is looking to recruit an Extended Term Temporary (ETT) Team Assistant in Kinshasa. The selected candidate will be a highly engaged member of the country office’s support team, actively providing guidance on operational policies and guidelines, demonstrating a strong drive for results, dedication, and commitment to teamwork. He / She will provide solid operational and administrative support and work harmoniously with multiple teams, as well as Project Leaders (PLs) and other Administrative and Client Support (ACS) colleagues as a team.
This position reports to the Democratic Republic of Congo Cluster Country Manager.
Duties and Responsibilities:
Administrative Support:
• Function with judgment to provide a wide range of support to the Team, including managing priorities, day-to-day supervision, and coordination of the unit’s workflow, quality assurance (i.e., documents, processes, etc.), screening of all incoming documents, drafting responses and ensuring the smooth delivery of services.
• Serves as the first point of contact and liaison with clients.
• Independently responds to diverse inquiries and makes decisions when multiple courses of action are possible.
• Coordinates and monitors multiple and diverse work processes and activities to ensure that decisions are properly carried out and products are delivered in a timely manner.
• Support with logistical preparations, including Webex, video, and audio conferencing, for meetings or other events.
• Provide logistical support to prepare Unit meetings.
• Provide logistical support to the team (Booking, travel, visa, transfer).
• Discussion with the client for the details of events.
• Make the purchase order follow up with the providers.
• Maintain up-to-date distribution lists.
Operational Support:
• Initiate, edit and distribute Mission Announcement Letters (MAL), Terms of Reference (TOR), Back to Office Reports (BTOR), and other mission-related documents under the guidance of the various Project Leaders for F&M.
• Create Trip Requests (TR) for short term consultants and submit their Statement of Expenses (SOE).
• Create new consultants and vendors contracts in the Admin Portal.
• Work in coordination with Communication team to review and disseminate important information related to the country program.
Competencies:
• Technology and systems knowledge – Demonstrates advanced knowledge and experience working with Microsoft office applications (Excel, PowerPoint, Word, etc). Has ability and willingness to maintain up to date knowledge and skills as well as technology.
• Project and task management – Exhibits good organizational skills and ability to work competently with minimal supervision. Demonstrates attention to detail and quality. Has the ability to manage multiple tasks and complete tasks within agreed schedule.
• Institutional policies, processes, and procedures – Demonstrates knowledge of own department’s programs and products, knows key players, understands own role. Display understanding of policies and procedures relevant to the area of assigned responsibilities and is able to apply/implement them.

Selection Criteria Preference will be given to local talent, that is, applicants that are authorized to work in the duty station for any employer. Internal applicants may apply per existing guidelines.
• Bachelor’s degree required.
• At least 2-5 years of experience, or equivalent combination of education and experience.
• Be able to work under pressure, flexible with working hours and prompt with timings.
• Have good communication skills and polite manners in both French and English.
• Be a committed team player able to work in a multi-cultural environment.
• Demonstrates independence and sound judgment in managing responsibilities.
• Demonstrates flexibility and readiness to work as required by business needs.
• Maintain confidentiality and discretion.
Note: The selected candidate will be offered a one-year appointment, renewable for an additional one year, at the discretion of the World Bank Group, and subject to a lifetime maximum ET Appointment of two years. If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum. Former and current ET staff who have completed all or any portion of their second-year ET appointment are not eligible for future ET appointments.
