Finance Associate - ORO

BACKGROUND
The Finance Associate position is part of the Finance Team at the Oceania Regional Office (ORO) and supports the delivery of financial management services to programmes and projects across the region.
The role contributes to ensuring accurate financial processing, compliance with IUCN financial policies, and efficient financial support to programme implementation.

The incumbent will support day-to-day financial operations including accounts payable, staff expense processing, reconciliations, financial record management, and ERP system updates.

Given the operational nature of this role, familiarity with national financial regulations and accounting practices in Fiji, including those of the Fiji Institute of Accountants, would be advantageous.
JOB DESCRIPTION
The Finance Associate will provide operational finance support to the Oceania Regional Office, including but not limited to the following responsibilities:

1. Financial Processing and Accounts Administration
• Process purchase orders, bank payments, and staff-related payments, including advances, reimbursements, and loans in accordance with IUCN financial procedures.
• Review and process corporate and management staff travel and expense claims, ensuring compliance with IUCN policies and completeness of supporting documentation.
• Prepare and issue invoices and maintain accurate records of receipts against invoices.
• Provide relevant information related to staff salary deductions, ensuring that staff advances and loans are accurately recorded and settled, particularly during staff separation.

2. Financial Reconciliation and Reporting
• Perform monthly vendor account reconciliations and follow up with staff to resolve any outstanding issues.
• Reconcile accounts payable and other balance sheet accounts and upload relevant documentation to the NAV checklist.
• Process intercompany (IC) transactions and perform reconciliations of intercompany current accounts.
• Update the fixed asset register in the ERP system and process monthly depreciation entries.

3. Financial Support to Operations and Projects
• Support cash disbursements during workshops, meetings, and events, ensuring proper documentation, approvals, and ERP processing.
• Assist the Regional Finance Officer in determining cash requirements and supporting cash management activities.
• Provide support for month-end and year-end financial closing processes, including preparation of required entries and documentation.
• Generate financial reports and information as requested by the Regional Finance Officer.

4. Audit and Compliance Support
• Assist in preparing documentation and supporting materials for internal and external audits, donor reporting requirements, and compliance reviews.
• Maintain organized financial records in accordance with IUCN policies and donor requirements

5. Other Duties
• Perform other duties as assigned by the Regional Finance Officer or line manager, consistent with the responsibilities of the position
