Archival Assistant

The Loans & Social Development Directorate (L&D), at the heart of the project lifecycle, cooperates closely with other CEB Directorates to develop the Bank’s loan and grant operations, within the orientations of the CEB’s Development Plan, and fulfil the CEB’s distinctive social mandate. L&D develops relations with borrowers, identifies opportunities for financing social investments, manages key aspects of project appraisals, negotiates contracts, structures financial offers and monitors use of funds. 

Within the Project Monitoring Unit of the L&D Directorate, the Archival Support Assistant, under the supervision of the Project Monitoring Technical Officer, will be responsible for the physical management of the Unit’s archives and will assist with their digitization and preservation, in accordance with the CEB’s preservation standards and confidentiality rules.

KEY RESPONSIBILITIES

The successful candidate will play an active role in preserving the documents and maintaining the archives:

  • Catalog documents.
  • Receive, sort, and organize files.
  • Review, evaluate, and select documents for digitization.
  • Digitize the selected documents and create metadata for future integration into the database.
  • Repackage documents to be destroyed and ensure the physical storage of boxes containing preserved documents.
  • Update the Excel spreadsheet tracking documents to be digitized and destroyed.
  • Pack and archive documents from the Project Monitoring Unit.
  • Update the Unit’s archive inventory file.
  • Strictly enforce confidentiality and security protocols.
  • Provide support to various stakeholders to ensure compliance with document management requirements and understanding of the processes to be followed.

PROFILE

Academic background:

  • High school diploma or relevant professional experience.

Professional background:

  • Experience in a similar role would be a plus (archives, library, logistics, or records management) but is not required.
  • Basic knowledge of inventory management and archival organization.
  • Proficiency in standard computer software (Microsoft Office).

Language skills:

  • Excellent command of one of the two CEB official languages (English and French), both oral and written, and knowledge of the other, with a commitment to reach a good working level.

EMPLOYMENT CONDITIONS

1) The CEB offers an initial 6-months temporary appointment starting as soon as possible with, under certain conditions, the possibility of renewal up to a maximum of 24 months.

2) Grade and salary:

  • C3
  • Depending on level of experience, monthly salary starts at 3,678.03€, plus allowances based on eligibility, exempt of French income tax.
  • Appointment may be made at a lower grade, based on the qualifications and professional experience of the selected applicant.
  • Grades are established without any discrimination (including gender discrimination)

As an international financial institution, CEB remuneration is exempt of income tax in France.
