Job Description

Introduction:

You will join the Departmental and Project Support Group within the Departmental Administrative Services Section of the Technology Department, working closely with colleagues across the Organization. As a key member of the TE administrative team, you will be part of a team of assistants contributing to the management of a Group Secretariat, with a particular focus on information, communication, and organisational services.

Working alongside administrative assistants, you will provide administrative, organisational, communication, and information management support, helping ensure effective coordination and the smooth running of day-to-day operations.

Functions:

  • Provide front-office and administrative support to group members throughout their appointments, including arrival and departure formalities and the organisation of official travel.
  • Coordinate and support meetings, visits and events (e.g. conferences, workshops, internal meetings) using CERN tools and platforms.
  • Liaise with internal stakeholders to support reporting and planning activities, contribute to information preparation and manage the group’s web content, documentation, and archives via relevant content management systems.
  • Provide administrative support to the Group Leader, including agenda and mailbox management, meeting coordination, action follow-up, information preparation, and maintenance of personnel and budget dashboards.
  • Ensure service continuity by covering for colleagues when required and contribute to the continuous improvement of administrative processes within the Group and the Department.

Qualifications

Higher Administrative diploma or equivalent relevant experience in the field of Administration or a related field.

Experience:

  • Proven experience as administrative support within an international and multicultural environment.
  • Demonstrated experience in multi-tasking and prioritisation in a structured manner as first line administrative support.
  • Demonstrated experience in applying administrative rules and following established procedures.
  • Proven experience using a diverse set of office computing tools and maintaining, organising and archiving administrative records and documents
  • Demonstrated experience in preparing and proof reading of work documents.

Technical competencies:

  • Knowledge of administrative rules and procedures.
  • Event organisation and management.
  • Secretarial work.
  • Archiving and records management.
  • Customer service.
