GLOBAL CORPORATE SOLUTIONS
Reporting to the Managing Director and World Bank Group Chief Administrative Officer (MDCAO), Global Corporate Solutions (GCS) brings together the functions of (i) Corporate Services (GCSCS); (ii) Corporate Real Estate (GCSCR); and (iii) Corporate Security (GCSSC), as well as Leadership of the WBG Emergency Management Team (EMT).
The Front office is looking for a Senior Executive Assistant who will report to the GCSDR Director supporting him and working with GCS Front Office to deliver on the department’s work program.
Candidates for this position should have strong administrative skills with excellent interpersonal skills, the highest personal integrity and demonstrated ability to handle confidential matters in a discreet and respectful manner. S/he will be detailed oriented, dynamic and a multi-tasker, with high quality office support and great attitude.
DUTIES AND ACCOUNTABILITIES:
The Senior Executive Assistant provides high-level administrative and proactive operational support to the GCS Director to ensure the effective functioning of the Front Office. Responsibilities include:
- Provide executive support with sound judgment, managing priorities, workflow, and service delivery.
- Exercise discretion, tact, and diplomacy in handling inquiries and sensitive or confidential matters, making informed decisions when required.
- Manage the Director’s calendar and schedule, proactively resolving scheduling conflicts, prioritizing competing demands, and ensuring timely preparation of meeting materials.
- Manage high volume communications with senior internal leadership and external stakeholders, exercising sound judgment, urgency, and confidentiality.
- Coordinate logistics for mission travel and Front Office meetings and events, including travel arrangements, visa requirements, agendas, documentation, and preparation of Statements of Expense (SOEs); support meetings, town halls, retreats, and official events.
- Oversee Front Office administrative operations, including resource management, PCard expenses, and LARS/TRS coordination.
- Collaborate effectively with A2D teams to support administrative operations across GCS units and stakeholders throughout the WBG.
- Provide oversight and guidance to administrative staff across GCS units, coordinating administrative functions, ensuring consistency in service delivery, and serving as a resource for resolving operational issues and escalations within the Front Office.
- Provide confidential administrative support, including onboarding, procurement requests, and management correspondence.
- Maintain organized electronic filing systems in SharePoint, OneDrive, and Records Management platforms, ensuring timely updates of key documents and dashboards.
- Manage office supplies and inventory and ensure the upkeep of the Front Office.
- Perform additional duties as assigned.
Selection Criteria
- Bachelor’s degree with a minimum of seven years of relevant experience, or an equivalent combination of education and experience.
- Demonstrated experience supporting executive or senior management.
- High degree of discretion and professionalism in handling sensitive information, combined with strong interpersonal skills and the ability to represent the Director’s office with tact and authority.
- Proactive orientation with ability to operate effectively in a fast-paced, multicultural environment and quickly understand organizational processes.
- Excellent organizational, analytical, and time management skills, with the ability to manage multiple and competing priorities under pressure with minimal supervision.
- Strong time management skills and adaptability to changing business needs; willingness to learn and take on additional responsibilities.
- Client-focused, dynamic, proactive, reliable, and responsive, with strong follow-through.
- Strong analytical capability in managing data and maintaining financial and administrative databases.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), familiarity with World Bank systems (SAP, Concur, etc.) and comfort using AI-enabled tools.
- Willingness to work extended hours as required.
Note: Preference will be given to nationals of the duty station or non-nationals with legal authorization to live and work in the duty station
